Legal Assistant / Client Intake & Office Coordinator

Position Overview

A.H.STEINMETZ, LTD. is seeking an experienced, personable, and technology-oriented Legal Assistant / Client Intake & Office Coordinator. This person will serve as a primary point of contact for current and prospective clients and will help manage the firm’s day-to-day administrative and client-service operations.

This is not a position for someone who wants to perform only assigned clerical tasks. We are looking for someone who takes ownership of their responsibilities, notices what needs to be done, shares ideas, solves problems, and is willing to assist with projects and office needs outside of a narrow job description.

The ideal candidate will be professional, honest, dependable, organized, comfortable with technology, and capable of providing excellent service to clients from their first telephone call through the completion of their matter.

Primary Responsibilities

Answer incoming telephone calls professionally, warmly, and confidently.
Serve as a primary point of contact for prospective and existing clients.
Conduct initial client intake, gather accurate information, and identify appropriate next steps.
Schedule consultations, client meetings, document signings, court appearances, and other appointments.
Maintain attorney calendars and assist with monitoring deadlines and scheduling conflicts.
Enter and maintain accurate client and matter information in Clio.
Open new matters and assist with engagement letters, intake forms, and onboarding procedures.
Communicate with clients by telephone, email, and text in a professional and timely manner.
Prepare, revise, format, scan, combine, organize, and electronically file PDF documents.
Draft routine correspondence, emails, letters, and administrative documents.
Organize and maintain electronic client files using consistent naming and filing procedures.
Assist with billing, payment collection, document delivery, and other administrative tasks.
Monitor office email accounts and ensure that communications are directed and addressed promptly.
Assist with client follow-up and requests for client feedback and online reviews.
Help maintain a welcoming, organized, and professional office environment.
Keep the reception area, conference room, shared spaces, and individual workspace clean and presentable.
Take ownership of assigned projects and provide updates without requiring repeated follow-up.
Identify inefficiencies and recommend improvements to office procedures, technology, and client service.
Assist with additional administrative or office responsibilities as reasonably needed.

Technology Expectations

The successful candidate must be comfortable learning and using technology throughout the workday. Strong candidates will understand not only how to complete basic tasks, but also how to use software efficiently through templates, keyboard shortcuts, automation features, and organized workflows.

Experience with the following is strongly preferred:

Clio Manage or similar legal practice-management or CRM software
Microsoft Outlook
Microsoft Word
Microsoft Excel
Microsoft Teams
Microsoft OneDrive and SharePoint
Adobe Acrobat or similar PDF software
Electronic signatures and online forms
Cloud-based document-management systems
AI and large language model tools, such as ChatGPT or Microsoft Copilot

Candidates should be able to troubleshoot routine technology issues, learn new systems, and recognize when a process can be completed more efficiently.

Client Service Expectations

This position plays a significant role in the client’s experience with the firm. The successful candidate must understand that every telephone call, email, appointment, and office interaction affects the firm’s reputation.

The ideal candidate will:

Communicate clearly and avoid making clients feel rushed or ignored.

Respond promptly and accurately.
Understand the importance of client satisfaction, referrals, and positive online reviews.

Qualifications

High school diploma or equivalent required.
Some college, vocational training, or legal-assistant education is preferred but not required.
Approximately five years of professional administrative, customer-service, or office experience is preferred.
Prior law-firm experience is strongly preferred.
Experience answering business telephone calls and interacting directly with clients or customers.
Experience managing calendars, appointments, and competing priorities.
Strong proficiency with Microsoft 365 and PDF software.
Experience using CRM, case-management, or practice-management software.
Strong written communication and professional email skills.
Excellent organization and attention to detail.
Ability to work independently and take initiative.
Ability to receive feedback and adapt to changing priorities.
Professional appearance and dependable attendance.
Honest, personable, and willing to accept responsibility for mistakes.
Willingness to assist with reasonable duties outside of routine assignments.

Compensation and Benefits

This is a full-time, hourly, non-exempt position. Compensation will be based on relevant experience, demonstrated skills, and the candidate’s ability to contribute to the firm.
