PRIMARY FUNCTION
The Events & Community Engagement Manager plays a key role in advancing the mission of Boys & Girls Clubs of Martin County by creating meaningful donor experiences, coordinating fundraising and stewardship events, and strengthening community engagement efforts. This position is responsible for the planning and execution of fundraising events, donor cultivation opportunities, sponsor fulfillment, volunteer and committee coordination, and community engagement activities that support organizational visibility and revenue goals.
KEY RESPONSIBILITIES
Event Planning & Execution:
1. Lead the planning and execution of fundraising, stewardship, and community engagement events, including but not limited to donor receptions, campaign events, and cultivation gatherings.
2. Directly responsible for the planning and facilitation of events to include, but not limited to, Youth of the Year, Songwriters in the Round, Joe Kordick Awards, and organization golf tournaments. Provide support as needed leading up to and day of the Annual benefit.
3. Execute donor-facing stewardship and engagement experiences in collaboration with the Donor Database & Analytics Manager, Chief Philanthropy Officer, and Chief Resource Development Officer.
4. Develop and manage detailed event timelines, budgets, scripts, and event run of show.
5. Lend support to the Event Coordinator to support event logistics, vendor coordination, and event production schedules.
6. Work collaboratively with the Event Coordinator across all organization events.
7. Lead the development, monitoring, and reconciliation of event budgets, including invoices, payments, and discrepancies, while partnering with the Event Coordinator to obtain, review, and track budget components associated with event logistics and vendor services.
8. Manage the design of mailed pieces and implement any mailings associated with the event to include, but not limited to, Save the Dates, invitations, and thank you letters.
9. Recruit and cultivate committee/team members, facilitating regular meetings, setting clear expectations, and providing the tools necessary for success.
10. Coordinate event committees and volunteers to ensure successful implementation.
11. Support onsite event management, setup, execution, and follow-up activities.
12. Lead the development and production of all event-related materials, such as programs, signage, branded giveaways, and volunteer gear.
13. Conduct post-event evaluations, compiling data and feedback to assess success, improve future events, and ensure sustainability.
Donor Engagement:
1. Assist in creating meaningful donor engagement opportunities that strengthen relationships and increase donor retention.
2. Coordinate donor tours, stewardship experiences, and recognition opportunities.
3. Support donor communications and stewardship touchpoints in collaboration with the Director of Marketing & Communications.
4. Responsible for the day-to-day administration, implementation, and tracking of all alumni engagement initiatives, including communications, events, outreach efforts, database management, and participation reporting. Collaborate with the Chief Resource Development Officer on strategic planning, growth opportunities, and long-term alumni engagement objectives.
5. Work closely with the Volunteer Engagement Specialist to align volunteer and partner resources with donor engagement and alumni initiatives, maximizing opportunities for participation, stewardship, and community connection.
Sponsorship & Community Partnerships:
1. Identify, cultivate, and secure sponsorships from individuals, businesses, and corporations to meet or exceed revenue targets.
2. Support sponsorship fulfillment, tracking, and relationship management.
3. Assist with sponsor communications, benefits administration, and recognition efforts.
4. Build and maintain relationships with community partners, civic organizations, volunteers, and event supporters.
5. Coordinate third-party fundraising opportunities and community engagement initiatives.
6. In partnership with the Chief Resource Development Officer, lead the Character Counts! committee.
7. Represent Boys & Girls Clubs of Martin County at select community events, donor engagement opportunities, and organizational functions; serve as an ambassador for the organization by engaging with donors, sponsors, volunteers, and community members, staffing informational displays, and effectively communicating the mission, programs, and impact of BGCMC.
Administrative & Operational Support:
1. Maintain accurate records related to events, sponsorships, and engagement activities in partnership with the Donor Database & Analytics Manager.
2. Track event expenses/income, attendance, and sponsorship deliverables and provide event updates and reports to the Chief Resource Development Officer throughout the planning and implementation of each event.
3. Maintain confidentiality of information, records and materials.
4. Perform other duties as assigned.
RELATIONSHIPS:
Internal: Maintain effective working relationships and regular communication with the Chief Resource Development Officer, Resource Development team, Event Coordinator, and other organizational staff. Demonstrate professionalism, courtesy, and respect in all interactions.
External: Maintains contact with external vendors, volunteers, event committee members, sponsors, donors and other groups to achieve goals and objectives.
SKILLS/KNOWLEDGE REQUIRED:
1. Four-year degree in related field from an accredited college or university, or equivalent experience.
2. Minimum of 3 years of experience in event planning, nonprofit development, donor engagement, or related field.
3. Ability to manage multiple priorities and deadlines simultaneously.
4. Must be a strategic thinker with the ability to manage multiple projects and to develop solutions to problems with limited supervision.
5. Must have the ability to secure financial and in-kind sponsorships and action items.
6. Effective and compelling communication skills, both verbal and written.
7. Exceptional interpersonal relationship skills with the ability to work flexibly with many different leadership and personality types.
8. Strong computer skills including Microsoft Office, database management and knowledge of event management programs.
9. Ability to establish and maintain effective working relationships with staff, volunteers, Board members, community groups and other related agencies.
10. Ability to solve practical problems and deal with a variety of situations that may arise without warning.
11. Must be able to work a flexible schedule including nights and weekends.

Location: Administrative Office
Schedule: Mon – Fri between 8am-5pm; Hours may vary depending on the location or situation of the day; Regular night and weekend work required.
Compensation: $50k-$55k
Pay: $50,000.00 - $55,000.00 per year
