Full Job Description

Overview

The Construction Project Administrator plays a pivotal role in anchoring both active field projects and daily office operations for our commercial construction business. This multifaceted position demands an organized professional capable of seamlessly transitioning between field document management, compliance tracking, and general office coordination. The ideal candidate will serve as the organizational backbone of project workflows, supporting project teams, field superintendents, and company leadership.

Core Responsibilities

1. Project Administrative Support

Subcontract Administration: Draft, process, track, and maintain subcontractor agreements and associated compliance documentation.
Change Order Management: Process, record, and log project change orders, ensuring all project documentation is systematically updated.
Budget Tracking & Job Cost Projections: Assist in managing project budgets and updating financial tracking spreadsheets to monitor real-time job expenses.
AP Invoice Review and Approval: Review, organize, and process incoming invoices to support accurate accounting cycles. After coding, distribute to PM for review, upon approval, enter invoices into Sage Accounting System.
Documentation Management: Maintain and optimize complex spreadsheets to monitor project metrics, costs, and administrative deliverables. Tracking subcontract status, obtaining subcontractor contact information and updating subcontract logs, distributing pay application spreadsheets upon contract approval, documenting and gathering all necessary subcontract documents such as COIs, safety plans, etc. Uploading signed change orders and subcontracts to SharePoint and filing in corresponding job folders.
Project Closeout: request O&Ms, final closeout documents, reconcile final contract value, prepare closeout package for owner.

2. Field & Project Document Support

Superintendent Assistance: Serve as the primary administrative liaison for field superintendents, resolving paperwork bottlenecks and helping coordinate logistics.
Document Control (Project & RFI Binders): Compile, organize, and continuously update physical and digital project binders, including Request for Information (RFI) logs and construction documents.
Meeting Documentation: Attend project coordination meetings to capture accurate, structured meeting minutes.
Time Tracking Management: Review, code, and approve field employee time allocations using Clockify to support accurate payroll processing and job-costing analysis.

3. Safety & Compliance Administration

Safety Documentation: Assemble, distribute, and refresh project-specific safety manuals and on-site safety binders.
Compliance Materials: Oversee the inventory, procurement, and distribution of on-site Personal Protective Equipment (PPE).
Labor & Industries (L&I) Postings: Ensure all mandatory workplace regulations, state safety posters, and L&I compliance boards are completely up to date across all jobsites and the main office.

4. Fleet & Office Operations

Fleet Management & Equipment Files: Maintain logs, maintenance records, registration files, and safety documentation for all company vehicles and construction machinery. Distribute vehicle tabs annually, license plates when necessary, and coordinate decals on new vehicle purchases. Tracking equipment locations, monthly tool expenses, and AirTags on equipment. Gather necessary information for new vehicle loans as necessary.
Event Planning: Coordinate internal company outings, seasonal events, and team-building gatherings, annually we plan a summer event and Christmas party.

Qualifications

Experience: Minimum of 2–4 years of administrative or operational experience, with direct exposure to a commercial construction or trade contractor setting highly preferred.
Software Proficiency: Proficient using Microsoft Office required. Familiarity with Sage, Raken, and time keeping systems (Clockify) or ability and willingness to learn these systems.
Industry Knowledge: Not required but preferred basic familiarity with construction accounting components, including subcontracts, billing structures, change orders, and field document logs (RFIs).
Key Attributes: Exceptional multi-tasking skills, sharp attention to detail, and a collaborative mindset suited for reporting to multiple individuals. Must be comfortable working closely with field personnel and a variety of personalities, with the confidence to communicate expectations, ask questions, and follow up as necessary.
