Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! In this multifaceted role, you will manage essential financial records, perform administrative tasks, and support daily office operations with enthusiasm and precision. Your proactive approach will ensure smooth office functioning, accurate bookkeeping, and excellent client communication. Duties

Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and account reconciliations
Manage front desk responsibilities such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Perform data entry tasks with high accuracy into spreadsheets and other productivity software to support administrative functions
Organize files, documents, and correspondence through efficient filing systems both digitally (Google Workspace) and physically
Assist with calendar management and scheduling appointments for team members or clients, ensuring timely follow-up
Provide exceptional customer service by responding promptly to client inquiries via phone or email, supporting client communication efforts
Support office management activities including supply ordering, maintaining office equipment, and ensuring a productive work environment

Qualifications

Proven experience in office management or administrative support roles with strong clerical skills
Proficiency in QuickBooks for bookkeeping tasks and Microsoft Office Suite (Word, Excel) along with Google Workspace tools
Excellent computer literacy including data entry, word processing, spreadsheets creation, and proofreading skills
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience handling multi-line phone systems and front desk duties in a professional setting such as medical or dental reception is preferred
Demonstrated customer service excellence combined with effective phone communication and client support skills
Personal assistant experience or familiarity with calendar management enhances your suitability for this role
Attention to detail, time management skills, and technical proficiency are essential for success in this position
