What We’re Looking For

The ideal candidate takes ownership of their work, pays close attention to detail, and understands that accurate and timely billing directly impacts customer satisfaction and company profitability. This position requires someone who is comfortable asking questions, researching discrepancies, following established account requirements, and communicating potential issues before they become larger problems.

Billing Administrator (Plumbing and HVAC)

Job Summary:

The Billing Specialist will work closely with the Service Manager, Accounts Receivable department, Payroll, Warehouse, and other team members to resolve billing issues and ensure jobs are accurately and timely invoiced. The ideal candidate is organized, analytical, comfortable working with numbers and computer systems, and able to manage multiple priorities in a fast-paced service environment.

Responsibilities:

The Billing Specialist will review, research, and process Plumbing and HVAC invoices to ensure labor, materials, pricing, costs, and customer-specific billing requirements are accurate and complete. The position will prepare and distribute invoices according to contracts and account terms while identifying and escalating discrepancies, unusual costs, low-margin invoices, or other items requiring management review.
The Billing Specialist will work with the Service Manager, Accounts Receivable, Payroll, Warehouse, and other staff members to resolve billing issues, maintain accurate customer accounts and job locations, process credit card payments, and provide backup support for call-taking when needed.
Perform All Other Duties and Responsibilities as Assigned.

Qualifications and Experience:

The successful candidate will have a high school diploma or equivalent. Additional education or relevant experience is a plus.
Strong attention to detail, accuracy, organization, analytical thinking, and problem-solving skills are essential. The candidate should have strong written and verbal communication skills and be comfortable working with numbers, invoices, pricing, and financial information.
Strong computer skills and the ability to learn and navigate multiple software systems are required. The successful candidate must be able to work independently while also communicating and collaborating effectively with managers and other departments.
The ability to prioritize multiple responsibilities, meet deadlines, and maintain accuracy in a fast-paced office environment is essential.
Previous experience in billing, accounts receivable, accounting, administrative support, or a related field is preferred.
Experience in the Plumbing, HVAC, construction, facilities, or field-service industry is beneficial. Familiarity with ServiceTitan or similar field-service management software, as well as experience working with customer contracts, purchase orders, rate schedules, and account-specific billing requirements, is a plus.

Work Environment:

This is primarily an office-based position performed indoors. The role involves frequent use of computers, telephones, and standard office equipment, as well as regular communication with service technicians, managers, customers, vendors, and other administrative personnel. This position reports to the company Controller.

Physical Requirements

The position requires the ability to sit and work at a computer for extended periods, as well as stand and walk throughout the office as needed. The employee must be able to type, operate standard office equipment, observe and read information displayed on computer monitors, and answer and communicate by telephone. The position may also require occasionally lifting and moving routine office supplies and equipment.
