Full Job Description

We are a not-for-profit affordable housing corporation located in North Brooklyn, New York. Our mission is to preserve and support affordable housing for the community while maintaining strong financial controls, regulatory compliance, and transparent reporting to the Board of Directors, residents, funders, and government agencies.

We are seeking an experienced, detail-oriented Bookkeeper / Accounting Manager to manage day-to-day accounting and support financial reporting, compliance, audits, and required filings. The ideal candidate has experience with nonprofit accounting and, preferably, affordable housing, property accounting, government-funded programs, HDFC housing, HUD/HPD/HDC/DHCR programs, LIHTC, grants, or similar regulated housing environments.

Position Summary

The Bookkeeper / Accounting Manager will be responsible for maintaining accurate financial records, processing accounts payable and receivable, reconciling bank accounts, tracking income and expenses by program or funding source, preparing monthly financial reports, supporting government and nonprofit filings, and coordinating with the Board, auditors, accountants, property managers, and outside consultants.

This role requires strong bookkeeping skills, discretion, accuracy, and the ability to stay organized across multiple reporting requirements and deadlines.

Key ResponsibilitiesBookkeeping and Accounting

Maintain accurate books in accordance with nonprofit accounting standards and internal policies.
Record income, expenses, deposits, transfers, journal entries, and adjustments.
Manage accounts payable, including vendor bills, approvals, payment processing, and recordkeeping.
Manage accounts receivable, including rent, maintenance charges, subsidy payments, grants, reimbursements, and other income.
Reconcile bank accounts, credit cards, reserve accounts, escrow accounts, and other balance sheet accounts monthly.
Maintain the general ledger and chart of accounts.
Track restricted funds, grants, reserves, capital funds, operating funds, and program-specific income/expenses.
Prepare monthly financial statements, including balance sheet, income statement, budget-to-actual reports, cash flow summaries, and accounts payable/receivable aging.
Maintain organized digital and physical financial records.

Affordable Housing / Program Compliance Support

Assist with financial documentation required for affordable housing programs, grants, subsidies, loans, tax exemptions, or regulatory agreements.
Support preparation of rent rolls, tenant ledgers, subsidy schedules, reserve reports, and other housing-related financial reports.
Coordinate with property management, compliance consultants, auditors, accountants, government agencies, and the Board as needed.
Help maintain records needed for HPD, HDC, DHCR, HUD, LIHTC, HDFC, Section 8, Article XI, grant, or other applicable program requirements.
Monitor deadlines for recurring financial and compliance submissions.

Nonprofit Filings, Audit, and Board Reporting

Support the preparation of annual Form 990, New York CHAR500, financial statements, audit/review/compilation materials, and other required filings.
Coordinate with outside CPA, auditor, payroll provider, and legal/compliance advisors.
Prepare financial packages for Board meetings.
Assist with annual budget preparation and periodic budget updates.
Provide clear explanations of financial reports to the Board or Treasurer when requested.
Maintain documentation for internal controls, approvals, and audit trails.

Payroll and Administration

Process or coordinate payroll, payroll taxes, benefits, workers’ compensation, and related filings if applicable.
Maintain vendor files, W-9s, 1099 records, insurance certificates, contracts, and payment documentation.
Help improve bookkeeping systems, workflows, internal controls, and document retention practices.
Perform other finance and administrative duties as needed.

Required Qualifications

Minimum 2–3 years of bookkeeping, accounting, or finance experience.
Experience with nonprofit accounting, fund accounting, property accounting, affordable housing, or government-funded programs.
Strong understanding of accounts payable, accounts receivable, bank reconciliations, general ledger maintenance, and monthly close.
Experience preparing financial reports for management, boards, auditors, or funders.
Proficiency with accounting software such as QuickBooks, Sage Intacct, Yardi, AppFolio, MRI, RealPage, or similar platforms.
Strong Excel / Google Sheets skills.
Excellent organization, attention to detail, and ability to meet deadlines.
Ability to handle confidential financial and resident information responsibly.
Strong communication skills and ability to work with board members, vendors, accountants, property managers, and government/compliance professionals.

Preferred Qualifications

Experience with affordable housing nonprofits, HDFCs, CDCs, housing development corporations, or community-based housing organizations.
Familiarity with HPD, HDC, DHCR, HUD, Section 8, LIHTC, HOME, Article XI, or other affordable housing programs.
Experience with Form 990, NY CHAR500, audit preparation, grant reporting, and restricted fund tracking.
Experience with rent rolls, tenant ledgers, maintenance charges, subsidy payments, reserve accounts, capital projects, and property-level accounting.
Experience implementing or improving accounting systems and internal controls.
Associate’s or bachelor’s degree in accounting, finance, business administration, nonprofit management, or related field preferred but not required with equivalent experience.

Schedule and Location

This position is full-time,

Location: Greenpoint/Williamsburg Brooklyn, New York
Schedule: Mon-Fri 9-5
Reports to: Executive Director

Compensation

Compensation will be based on experience, scope, and schedule.

Full-time: $75,000–$90,000 annually depending on experience and responsibilities
