HS Contractors Inc is seeking a Construction Office Manager / Project Administrator to serve as the operational backbone of our company.
This position supports the CEO and Construction Management team directly and oversees the financial and administrative systems that keep our construction projects organized and on budget.
You’ll handle everything from invoices, budgets, and contracts to monthly invoicing, vendor coordination, and construction management tracking.
We’re looking for someone who thrives on organization, accountability, and precision — not a standard admin, but a professional who understands construction flow and can manage complex financial details confidently.
Key Responsibilities
· Executive Support: Assist the executive team with daily tasks, scheduling, and follow-up to ensure priorities are met.
· Office Management: Manage & Maintain office organization, supplies, financials and overseeing the efficient operation of office systems and processes.
· Construction Support: Assist the Construction team with all construction related requests from inception to completion and post warranty.
-Plan Management and Document Control. (Onsite, Office and cloud)
Tracking and Updating construction software (Data Entry in Procore)
-Assist with bidding, Collecting Costs and developing new business
-Subcontractor Onboarding, Labor Compliance and project Close out
-Communication Manager: City, Vendor, Client and Subcontractors
· Contract & Compliance Management: Coordinate contract execution, track insurance compliance, and ensure all documentation is current and accurate.
-Keep accurate documentation in Excel and Procore (or any construction software)
· Employee Coordination: Manage employee onboarding and employee relations.
-Schedule and track employee trainings and required certifications, ensure compliance, and follow up on deadlines.
· Human Resources Support: Assist with HR tasks including health insurance administration, PTO tracking, timesheet collection, and new hire paperwork.
· Technology Oversight: Manage and oversee implementation of new technology hardware and software. Inventory of all equipment, tools and vehicles.
· Process Improvement: Develop and refine Standard Operating Procedures (SOPs) to improve efficiency and consistency across the organization.
· Client Management: Maintaining good client relationships and ensure satisfaction for all current and new business.
· Executive Assistant: Right hand to the CEO
· Additional responsibilities will be given as the role grows and develops.
Reports to: HS - CEO.
What We’re Looking For:
· Minimum 5+ years of construction office management or administrative experience.
· Minimum 1 year of experience in commercial or ground-up construction.
· Strong Computer Skills (Microsoft Office, Procore, Quickbooks)
· Strong understanding of HR processes and office accounting
· Self-motivated and proactive, capable of working independently with minimal supervision.
· Dependable, Trustworthy, and Professional in handling confidential information
· A valid driver’s license and an acceptable driving history.
Position Details:
· Location: Palm Desert or Wildomar office (in person)
· Salary: $65,000 – $85,800 (Depending on experience)
· Schedule: Monday–Thursday, 7:00 AM – 3:30 PM; Saturdays, occasional
