Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your proactive approach and excellent communication skills will support our team, manage administrative tasks, and enhance overall productivity. This position offers an exciting opportunity to contribute to a vibrant work environment while developing your administrative expertise in a fast-paced setting.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Coordinate calendar management, scheduling appointments, meetings, and conference calls for staff and executives
Maintain accurate records through data entry, spreadsheets, and word processing using Microsoft Office and productivity software
Oversee office supplies inventory, place orders as needed, and ensure the workspace remains organized and functional
Provide exceptional customer service by assisting clients, vendors, and visitors with inquiries and support requests
Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence with attention to detail
Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping
Support office management duties such as onboarding new employees, maintaining office policies, and ensuring compliance with procedures

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Excellent organizational skills with the ability to multitask effectively in a busy environment
Demonstrated experience in office management or administrative roles with strong clerical experience
Effective phone communication skills coupled with proper phone etiquette across multi-line systems
Bilingual abilities are highly valued to assist diverse client needs and enhance team communication
Knowledge of QuickBooks or similar accounting software for data entry and financial tasks
Exceptional attention to detail for proofreading documents and managing schedules accurately
Time management skills to prioritize tasks efficiently while maintaining high productivity levels
Previous experience as a medical receptionist or personal assistant is a plus but not required
