Job Title: Administrative & Accounting Coordinator

Location: Houston, TX (Cypress Area)
Job Type: Full-Time
Experience Level: Mid-Level

About the Role

We are seeking a highly organized and detail-oriented Administrative & Accounting Coordinator to join our growing team. This position plays a critical role in supporting the daily administrative and financial operations of our company, ensuring accurate accounting records, timely customer billing, and efficient office management.

The ideal candidate is proactive, dependable, and thrives in a fast-paced environment. They possess strong organizational skills, enjoy working with numbers, and take pride in maintaining accuracy while providing excellent internal and external customer service.

Key Responsibilities

· Manage customer invoicing and billing

· Process accounts receivable and assist with accounts payable activities

· Track customer payments and follow up on outstanding invoices

· Reconcile bank and credit card accounts

· Assist with month-end financial reporting and bookkeeping

· Maintain accurate financial records and company documentation

· Create and maintain spreadsheets using Microsoft Excel

· Support payroll preparation and employee expense reporting

· Coordinate administrative tasks including filing, document management, and office organization

· Assist project managers with contract administration, purchase orders, and customer documentation

· Answer phones, greet visitors, and provide professional customer support

· Perform additional administrative and accounting duties as assigned

Required Qualifications

· 3+ years of administrative, bookkeeping, accounting, or office management experience

· Strong proficiency with QuickBooks Online (QBO)

· Advanced Microsoft Excel skills

· Experience with customer billing, accounts receivable, and general bookkeeping

· Excellent organizational skills with exceptional attention to detail

· Strong written and verbal communication skills

· Ability to prioritize multiple tasks while meeting deadlines

· High level of professionalism and discretion with confidential information

Preferred Qualifications

· Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred but not required)

· CPA designation or CPA-track experience (preferred but not required)

· Experience working in the construction, engineering, or field services industry

· Knowledge of job costing and project-based accounting

· Experience with payroll processing and sales tax reporting
