Full Job Description

Our growing estate planning law firm is looking for a warm, organized, and dependable Receptionist / Client Services Coordinator.

This position is much more than answering phones. You’ll be the first person our clients interact with, helping ensure every client has a welcoming and professional experience from their first phone call through their office visit.

Responsibilities

Answer incoming phone calls with professionalism and warmth
Schedule consultations and client appointments
Welcome clients into the office
Maintain attorney and conference room calendars
Prepare meeting rooms before appointments
Scan and organize client documents
Process incoming and outgoing mail
Maintain client files and update information in the firm’s case management system
Assist with administrative projects as assigned
Help keep the office organized and running efficiently

Qualifications

Preferred

Prior law office or professional office experience

Responsibilities

Greet clients, visitors, and vendors warmly, providing excellent customer service and ensuring a positive first impression.
Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining professional phone etiquette.
Handle all front desk duties including scheduling appointments, managing visitor logs, and maintaining a tidy reception area.
Utilize office management software and tools such as Microsoft Office Suite, Google Workspace, QuickBooks, and data entry systems to support daily operations.
Perform clerical tasks such as filing, proofreading documents, organizing files, and managing correspondence to keep the office organized and efficient.
Assist with calendar management and scheduling for team members or executives as needed.
Support bookkeeping activities including basic bookkeeping tasks and record keeping to ensure accurate financial documentation.
Provide administrative support including typing reports, managing emails, organizing meetings, and supporting personal assistant functions when required.
Maintain excellent organization through effective time management skills, prioritizing tasks to meet deadlines consistently.

Experience

Proven office experience in a receptionist or administrative support role with demonstrated proficiency in front desk operations.
Strong computer literacy with skills in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks (preferred), and general data entry capabilities.
Experience handling multi-line phone systems with professionalism and courtesy.
Prior clerical experience including filing, proofreading, calendar management, and customer support is essential.
Familiarity with office management practices such as bookkeeping, time management strategies, and organizational skills is preferred.
Excellent communication skills with a focus on phone etiquette and customer service excellence are vital for success in this role.
