Full Job Description

Bookkeeper / Administrative Assistant Position Summary

We are seeking an experienced, dependable Bookkeeper / Administrative Assistant to support a husband-and-wife ownership team with several small businesses.

This is a hands-on position in a small, quiet office environment, and the person in this role will work independently most of the time. The ideal candidate is organized, trustworthy, detail-oriented, comfortable managing multiple companies and priorities, and able to take responsibility for routine bookkeeping and administrative tasks with limited supervision.

Previous bookkeeping experience is required. Experience with QuickBooks and general small-business accounting procedures is strongly preferred.

We offer flexibility in scheduling and hours for the right candidate.

Responsibilities

Bookkeeping

Maintain bookkeeping records for multiple small businesses
Enter and categorize income and expenses
Manage accounts payable and accounts receivable
Reconcile bank and credit card accounts
Maintain accurate general ledger records
Prepare invoices and track payments
Organize receipts, statements, and supporting financial documents
Assist with payroll processing and payroll-related records
Prepare routine financial reports for the owners
Maintain records and provide information needed by the CPA, tax preparer, payroll provider, or other professional advisors
Track bills, due dates, recurring payments, and other financial obligations
Assist with year-end bookkeeping organization and preparation
Maintain confidentiality of business and financial information

Administrative Support

Provide administrative assistance to both owners
Manage correspondence, documents, files, and general office records
Assist with scheduling, appointments, meetings, and reminders
Prepare letters, forms, spreadsheets, reports, and other business documents
Maintain organized electronic and paper filing systems
Handle occasional phone calls, emails, and follow-up with vendors, customers, professional offices, and business contacts
Assist with insurance, licenses, registrations, renewals, and other routine business paperwork
Order office supplies and help maintain general office organization
Track projects, deadlines, and items requiring owner follow-up
Perform other bookkeeping and administrative duties as needed across the owners' various businesses

Qualifications

Prior bookkeeping experience required
Working knowledge of accounts payable, accounts receivable, bank reconciliation, and general bookkeeping principles
Experience with QuickBooks preferred
Comfortable working with multiple businesses or sets of books
Strong computer skills, including email, spreadsheets, and Microsoft Office
Excellent organizational and recordkeeping skills
High degree of accuracy and attention to detail
Ability to prioritize tasks and manage multiple deadlines
Comfortable working independently with limited day-to-day supervision
Strong judgment and problem-solving skills
Dependable and able to follow through on assignments
Professional communication skills
Ability to handle confidential financial, business, and personal information with discretion

Ideal Candidate

This position would be a particularly good fit for someone who enjoys working independently and prefers a small-business environment over a large corporate office.

We are looking for someone who can see what needs to be done, keep things organized, ask questions when appropriate, and become a trusted part of the day-to-day operation of several small businesses.

The right person will be comfortable shifting between bookkeeping and administrative responsibilities—for example, reconciling an account in the morning, preparing paperwork or making a business-related phone call later in the day, and helping the owners stay on top of deadlines and ongoing projects.

Compensation

Compensation will be based on bookkeeping experience, qualifications, and agreed-upon schedule.
