The Role: Operations Associate

We’re hiring our first in-office, part-time administrative support person to keep the business running smoothly day-to-day. This role is a mix of client support + admin + office organization.

You’ll help manage calendars, keep client communication moving inside TaxDome, and handle scanning/labeling so documents are organized and easy to find. You’ll also help the owner keep the team’s daily priorities clear.

Employment type: W-2
Pay: $22/hour (up to $26/hour depending on fit/experience)
Location: In-office at our “Tax Shack” office
Address: Lacey, WA 98503
Hours: 20-25 hours/week to start
Daily hours: Monday–Friday 10 AM-2 PM

Key Responsibilities

Be the friendly first line of communication for clients (phone, messages, follow-ups).
Track and follow up on client onboarding and missing items (especially in TaxDome).
Manage calendars and schedule client reviews and appointments.
Keep tasks moving: capture next steps, set reminders, and help close loops.
Handle scanning, labeling, and saving documents.
Log and organize physical mail/notices.
Keep the office workflow tidy and consistent (files, checklists, simple routines).
Communicate daily priorities to the team based on the owner’s priorities.
Team task scheduling.
Billing.
Flag issues early when something is stuck or a client isn’t responding.

You’re warm, helpful, and professional with clients.
You’re comfortable making phone calls and sending follow-ups.
You’re organized and detail-oriented (you like clean files and clear status).
You can juggle tasks without dropping the ball.
You learn new tools quickly (especially TaxDome and basic office systems).
You enjoy being the “glue” that keeps a small team running smoothly

Bonus Points/but not Required

Bookkeeping and/or accounting firm experience.
Payroll processing experience
Office Management experience
Experience with QuickBooks and TaxDome

Pay: $45,760.00 - $54,080.00 per year
