Position Summary

Blazy Construction is seeking a highly organized, proactive, and dependable Administrative & Project Support Assistant to join our team in Bullard, Texas. Reporting directly to the General Manager, this role serves as a key administrative partner by managing daily communications, coordinating schedules, supporting new project setup, and assisting with office operations.

The Administrative & Project Support Assistant also provides administrative support to Project Managers and serves as a central point of communication to help keep projects and daily operations running efficiently. The ideal candidate is detail-oriented, resourceful, and able to anticipate needs, manage multiple priorities, and maintain confidentiality while supporting a fast-paced construction environment.

Key Responsibilities

Manage the General Manager's calendar, appointments, and meeting schedule.
Monitor, organize, and prioritize emails, responding or routing communications as appropriate.
Assist the General Manager with daily administrative tasks and special projects.
Coordinate and assist with the setup of new construction projects.
Create, maintain, and organize digital and physical project files and folders.
Maintain organized filing systems and ensure project documentation is accurate and up to date.
Provide administrative support to Project Managers.
Assist with preparing correspondence, reports, meeting materials, and other business documents.
Order and maintain office supplies and equipment.
Help develop, document, and improve office procedures and workflows.
Maintain a clean, organized, and professional office environment.
Prioritize multiple assignments while meeting deadlines in a fast-paced environment.
Communicate professionally with clients, vendors, subcontractors, and team members.
Perform other duties as assigned.

Qualifications

Previous experience in the construction industry is REQUIRED.
Minimum of 3 years of administrative or office support experience, preferably supporting project management or operations.
Proficiency with Microsoft Office 365 (Outlook, Word, Excel, Teams).
Strong organizational and time management skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Strong attention to detail and problem-solving abilities.
Experience organizing project documentation, files, and office records.
Ability to maintain confidentiality and exercise sound judgment.
Self-motivated, dependable, and able to work independently while contributing to a collaborative team environment.
