Full Job Description

Position Summary

The Purchasing Assistant provides day-to-day administrative and system support for our Purchasing and Manufacturing operations. The position performs accurate data entry, helps maintain purchase orders and vendor records, and creates and updates work orders for spliced O-rings, outside processing, assemblies, and kits. The role works closely with Purchasing, Production, Warehouse, Customer Service, Accounting, and Quality to keep materials, orders, and delivery dates accurate and moving on schedule.

Essential Responsibilities

Purchasing and Manufacturing Support

· Review available inventory and open purchase orders to determine material availability; identify backorders and document expected receipt or start dates.

· Record vendor acknowledgments, promised dates, lead times, pricing, minimum charges, and other required details.

· Follow up with suppliers for acknowledgments and order status and escalate shortages or late deliveries to Purchasing.

Assist with cycle counts and physical inventory.
Maintain accurate vendor and purchasing records, pricing, lead times, and certifications.
Prepare purchasing reports and metrics as requested.

Work Order Administration

Create, activate, update, and maintain work orders for spliced O-rings, external fabrication, assemblies, and kits in accordance with established work instructions.
Enter required dates, component quantities, source and release methods, and related work order information accurately in the ERP system.
Maintain work order calendars, assembly tickets, worksheets, and back-order records; update status as material is received or work is completed.
Coordinate pick-ticket release, shipment confirmation, work order cancellation, or other system steps when assigned.
Prepare routine reports, open-order lists, calendars, and metrics as requested.
Follow document-control and filing/scanning practices so records are complete and easy to locate.

Cross-Functional Support

Communicate order status, shortages, and date changes to Purchasing, Customer Service, Production, and Warehouse.
Support Accounting with invoice and purchase order discrepancies.
Coordinate special requirements with Quality or Engineering as directed.
Help prioritize urgent orders and customer commitments.
Perform other related duties as assigned.

Qualifications

· Associate degree in Business, Supply Chain Management, Operations, or related field preferred.

· High school diploma or equivalent required.

2–5 years of purchasing, procurement, manufacturing coordination, or inventory management experience preferred.
Experience in an industrial distribution or manufacturing environment is highly desirable.
ERP/MRP system experience preferred.
Proficiency with Microsoft Office, particularly Excel.
Knowledge of purchasing principles, inventory control, and supply chain processes.
Ability to read bills of materials and manufacturing documentation is preferred.

Physical Requirements

Office-based including warehouse and production areas.

Occasionally lift or move items up to 25 pounds.

Inventory accuracy and appropriate inventory levels.
Strong internal customer satisfaction across Sales, Production, Warehouse, and Accounting.
Continuous improvement in purchasing and supply chain processes.

Pay: $24.00 per hour
