SUMMARY
The Learning & Development Specialist supports the execution of the organization's L&D strategy by designing, documenting, and producing the materials, tools, and resources that bring learning programs to life. Working closely with the L&D Manager, this role is responsible for the instructional design, content creation, documentation, and administrative coordination of onboarding, training, and role profiling initiatives. The Specialist is a key execution partner — ensuring deliverables are completed with quality, consistency, and alignment to organizational standards — while the L&D Manager leads overall strategy, project ownership, and stakeholder management.
DUTIES AND RESPONSIBILITIES
Instructional Design & Content Development
- Design, develop, and update training materials including presentations, manuals, guides, e-learning modules, job aids, and visual resources.
- Create onboarding materials, induction routes, and role-specific training content as directed by the L&D Manager.
- Ensure all materials are visually consistent, bilingual (English/Spanish), and aligned with Elite Group brand standards.
- Develop and maintain competency matrices, training checklists, and role documentation templates.
- Translate complex processes and procedures into clear, engaging, and learner-friendly content.
Documentation & Role Profiling Support
- Support the job profiling and parameterization process by drafting, formatting, and maintaining job descriptions and role profiles.
- Document job responsibilities, competencies, KPIs, and performance expectations under the direction of the L&D Manager.
- Maintain organized and up-to-date records of all role documentation across departments.
- Coordinate document review cycles with department leaders and ensure timely updates.
Onboarding & Training Coordination
- Coordinate the scheduling, logistics, and administration of onboarding and training sessions.
- Facilitate training sessions and new hire orientations as assigned by the L&D Manager.
- Administer post-training evaluations, assessments, and knowledge checks.
- Track and upload training records to ADP within the required 48-hour window.
- Maintain training documentation in accordance with company retention requirements and applicable regulations.
- Ensure required onboarding, safety, compliance, harassment prevention, and policy acknowledgment trainings are documented and retained.
- Monitor onboarding completion and follow up with new hires and managers as needed.
Data, Reporting & Continuous Improvement
- Collect and organize training data, evaluation results, and onboarding completion metrics.
- Prepare reports, dashboards, and tracking tools to support L&D Manager reporting to leadership.
- Identify opportunities to improve training materials and processes based on participant feedback and data.
- Maintain accuracy and integrity of L&D documentation, databases, and file systems.
Collaboration & Support
- Work closely with the L&D Manager to execute departmental projects, initiatives, and deliverables on time.
- Partner with department leaders and subject matter experts to gather information needed for content development.
- Coordinate with HR and other departments to ensure training and onboarding alignment across the organization.
- Stay informed about instructional design best practices and emerging L&D tools and trends.
QUALIFICATIONS
- Bachelor's degree in Human Resources, Organizational Development, Education, Psychology, Business Administration, Communications, Instructional Design, or related field.
- Professional certifications in Learning & Development, Instructional Design, Talent Development, Training, or Human Resources preferred.
- Minimum 2 years of experience in Learning & Development, onboarding, training, or HR.
- Experience with ADP, LMS platforms, SharePoint, Canva, Microsoft Forms, or similar technologies preferred.
- Experience with job description writing, role profiling, or competency frameworks is a plus.
- Strong bilingual communication skills (English/Spanish).
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
- Highly organized with the ability to manage multiple tasks and deadlines simultaneously.
- Collaborative team player with strong interpersonal and coordination skills.

- Adhere to all company policies, procedures, and standards of conduct.
- Comply with all applicable federal, state, and local employment laws and regulations.
- Complete all required onboarding, safety, compliance, and continuing education training.
- Maintain confidentiality of company and employee information.
- Report workplace safety concerns, injuries, incidents, policy violations, and unethical behavior.
- Support a respectful, inclusive, harassment-free workplace.
- Cooperate with audits, investigations, compliance reviews, and regulatory inspections.
- Perform duties consistent with ethical business practices and workplace safety standards.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
- Ability to sit, stand, walk, and conduct training sessions for extended periods.
- Ability to travel between company locations as needed.
- Ability to occasionally lift training materials up to 20 pounds.
- Work is performed in office, warehouse, and operational environments.
