Full Job Description

ADVOCATE COORDINATOR (Volunteer Case Manager)

CASA of the Heartland exists to advocate for child abuse and neglect victims by providing them with a trained volunteer who will speak on their behalf in court. Our mission is to give these vulnerable children a voice and help them find a safe, permanent, and loving home. CASA of the Heartland serves children across multiple counties, including Hardin, LaRue, Meade, Breckinridge, Grayson, and Hart Counties. The Advocate Coordinator must be flexible and willing to support volunteers in any of these counties as needed. Travel within the service area may be required depending on the applicant’s residency and program needs. Travel to placement of children located outside of the service area occasionally may be required.

Statement of Purpose: The Advocate Coordinator is an integral part of the CASA of the Heartland staff whose duties involve the critical mission of recruiting, supervising, and supporting volunteer advocates and coordinating cases involving children who experienced abuse or neglect. The Advocate Coordinator works closely with volunteers to ensure they are equipped, supported, and compliant with CASA standards while advocating for the best interests of children served by the program. The Advocate Coordinator reports directly to the Director of Advocacy, while the overall program operates under the leadership of the Executive Director.

Advocate Coordinator Duties:

Assist the Director of Advocacy in the recruitment, screening, interviewing, and selection of new CASA advocate volunteers as required.
Review and monitor existing wait-listed cases and new cases assigned from the Family Court system, and assign them to advocate volunteers. Emphasis is placed on assigning older cases before newly filed cases when possible.
Complete consistency checks and monitoring via database reports to ensure accuracy and compliance with reporting standards.
Process, enter, and manage assigned cases and statistical information within the database system and produce required reports.
Monitor and ensure compliance with CASA of the Heartland, Kentucky CASA Network, and National CASA standards for case files and volunteer recruitment and management.
Maintain a minimum of monthly personal contact with each assigned volunteer advocate, or more frequently as needed by the volunteer, case, or staff per established policies.
Ensure that case files are returned and closure forms are completed at the close of each case and properly documented and filed.
Maintain confidential case filing systems for assigned court cases (both virtual and physical) in accordance with established processes and standards.
Input and process data regarding cases in accordance with established standards and ensure accuracy of program data.
Prepare reports regarding cases as required for program operations, grant compliance, and court reporting.
Attend court hearings as needed and maintain oversight of court dates and established legal requirements.
Provide requested or needed assistance and guidance to CASA advocate volunteers on a regular basis and as situations arise.
Ensure advocate volunteers remain current on required Continuing Education Units (CEUs).
Prepare and distribute assignment documentation for advocate volunteers.
Distribute established policies and procedures to advocate volunteers and ensure adherence to program standards.
Ensure compliance with established databases and reporting tools.
Represent CASA of the Heartland in community outreach, public awareness activities, and volunteer recruitment efforts as needed.
Collaborate with court personnel, child welfare professionals, and community partners when appropriate to support the best interests of children served.
Perform other duties as assigned.

Qualifications:

Successful completion of an associate's degree (or equivalent experience) in Business, Public Administration, Communications, Social Work, Education, or a related field.
Prior experience in the administration of volunteer, nonprofit, or public agency management is preferred.
Experience working with database systems is preferred.
Strong oral and written communication skills.
Strong organizational and recordkeeping skills with attention to detail.
Ability to interact with individuals of different socioeconomic, cultural, and educational backgrounds in a variety of circumstances.
Ability to interact professionally and objectively when faced with hostile, angry, frightened, or otherwise distressed individuals.
Ability to manage multiple volunteers and guide them in performing their assigned duties while maintaining productivity and quality standards.
Ability to engage in public speaking and community awareness activities on behalf of the organization.
Previous supervisory, management, or leadership experience preferred.

Conditions of Employment:

Dependable personal transportation with valid driver’s license and state-mandated insurance coverage.
Flexible schedule including regular office hours and occasional evening and weekend work.
Some bending and lifting may be required when assisting with events or program activities.
Position requires travel throughout the CASA of the Heartland service region.
Must be comfortable being featured in video or social media content related to CASA of the Heartland’s mission.
Ability to maintain confidential information and records.
Ability to meet all background check requirements and maintain required records in accordance with CASA standards.
Ability to interact with minors
