This is not a passive front-desk job. You will be the front door of the firm and a key part of our client-engagement process—answering calls, welcoming visitors, gathering accurate information, identifying how we can help, scheduling consultations, maintaining the CRM, and following up with prospective clients.
What you’ll own
- Create an exceptional first impression. Answer incoming calls promptly, greet clients and guests warmly, maintain a polished reception area, and help every visitor feel cared for.
- Guide prospective clients with empathy and confidence. Ask thoughtful intake questions, listen carefully, collect complete information, and help determine the appropriate next step—without providing legal advice.
- Schedule and protect consultations. Book qualified prospective clients, confirm appointments, reduce no-shows, and ensure the attorney has the information needed for a productive consultation.
- Follow up until the loop is closed. Reconnect with leads who have not scheduled, missed consultations, or have not yet retained the firm, using professional persistence and good judgment.
- Keep our systems accurate. Create and update CRM records, document every interaction, track lead sources and outcomes, and maintain reliable reports and pipelines.
- Support a well-run office. Receive and route mail and deliveries, maintain orderly files, monitor routine supplies, and assist the team with general administrative needs.
What success looks like
- Clients and callers consistently describe their experience as warm, professional, and helpful.
- Prospective-client information is complete, accurate, and entered into the CRM promptly.
- Consultations are scheduled correctly, confirmed in advance, and supported by disciplined follow-up.
- No call, message, lead, visitor, deadline, or administrative detail falls through the cracks.
- The reception area and front-office experience reflect the quality and professionalism of the firm.

What you’ll bring
- · High school diploma or equivalent required; bachelor’s degree or equivalent professional experience preferred.
- Prior customer service and professional office experience required.
- Strong written and verbal communication skills, including professional phone presence.
- Experience working in a CRM and accurately tracking data and follow-up activities.
- Confidence using business phone systems, Microsoft Office or Google Workspace, and learning new software.
- Law firm, professional-services, hospitality, healthcare, or consultative intake experience is a plus.

Consistent, full-time onsite attendance in Valdosta is an essential requirement of this position.
