Full-Time | Automotive Dealership Experience Required

Join Our Team

We are seeking an experienced Dealership Business Office Administrator to join our growing team. This is an excellent opportunity for a motivated, detail-oriented professional with prior automotive dealership experience who enjoys a fast-paced environment and thrives in a role supporting multiple departments.

The ideal candidate has experience with dealership accounting, contracts, DMV processing, vehicle titles, inventory management, accounts payable, accounts receivable, reception, cashiering, and customer service. This position requires exceptional organizational skills, accuracy, professionalism, and the ability to prioritize multiple responsibilities while delivering outstanding customer service.

Key Responsibilities

Business Office Administration
Process and maintain vehicle sales contracts and supporting documentation.
Prepare, submit, and monitor DMV paperwork, registrations, titles, and related documents.
Process vehicle title work and resolve title discrepancies.
Maintain accurate dealership records and ensure compliance with dealership procedures and DMV requirements.
Assist with warranty and GAP application processing and related reconciliations.
Accounting
Process Accounts Payable invoices and Accounts Receivable transactions.
Reconcile vendor statements and maintain vendor records.
Prepare customer refunds and dealership payments.
Reconcile credit card transactions and prepare daily bank deposits.
Balance cash receipts and maintain accurate financial records.
Assist with month-end reconciliations and other accounting functions.
Inventory Administration
Maintain new and used vehicle inventory records.
Assign stock numbers and enter inventory into dealership management systems.
Process dealer trades and maintain inventory schedules.
Assist with wholesale vehicle documentation and title processing.
Order and maintain office supplies.
Customer Service & Reception
Greet customers and visitors in a friendly and professional manner.
Answer and direct multi-line telephone calls.
Receive customer payments by cash, check, and credit card.
Balance and reconcile daily cash drawers.
Assist customers with questions and route inquiries to the appropriate department.
Provide administrative support to multiple dealership departments as needed.
General Office Support
Scan, file, and maintain electronic and paper records.
Communicate professionally with customers, lenders, DMV representatives, vendors, and dealership staff.
Cross-train and provide backup support within the Business Office.
Perform additional administrative duties as assigned.

Qualifications

Required:

Previous automotive dealership office experience.
Experience processing vehicle contracts, titles, and DMV paperwork.
Accounts Payable and Accounts Receivable experience.
Experience maintaining vehicle inventory.
Cash handling and cashiering experience.
Reception or front office customer service experience.
Excellent organizational and time-management skills.
Strong attention to detail with accurate data entry skills.
Ability to manage multiple priorities in a fast-paced environment.
Excellent verbal and written communication skills.
Professional appearance and positive attitude.
Proficiency with Microsoft Office applications.

Preferred:

Experience with Reynolds & Reynolds or other dealership management systems.
Experience with Dealer Daily or other manufacturer portals.
Knowledge of California DMV procedures.
Rental department or fleet administration experience.
Warranty and GAP processing experience.

Physical Requirements

Prolonged periods of sitting and computer work.
Frequent use of standard office equipment.
Occasional standing, walking, filing, and lifting office materials up to 25 pounds.
