Full Job Description

About the Role

We are looking for a dependable, organized, and hands-on Mailhouse Operations Manager to oversee the day-to-day operations of our small mailhouse. This is a full-time position for someone who is comfortable managing multiple priorities, communicating directly with customers, operating printing equipment, and taking ownership of the complete order-to-delivery process.

The ideal candidate is detail-oriented, self-motivated, resourceful, and able to work independently. This person will play a key role in ensuring customer orders are processed accurately and efficiently, payments and invoices are tracked, and customers receive timely and professional communication.

Key Responsibilities

Manage the day-to-day operations of the mailhouse
Process and manage new customer orders from start to finish
Communicate with customers regarding orders, proofs, timelines, questions, and issues
Prepare and organize mailing and printing projects for production
Operate commercial printing and mailing equipment (can be taught on the job)
Monitor inventory of paper, envelopes, printing supplies, and other mailhouse materials
Track customer payments, invoices, and outstanding balances
Coordinate with customers and vendors as needed
Maintain organized digital records of orders, invoices, customer information, and production documents
Help improve and maintain efficient processes and procedures within the mailhouse
Handle other administrative and operational responsibilities as needed

Qualifications

Previous experience in mailhouse, printing, fulfillment, production, operations, or a similar environment preferred
Strong organizational and time-management skills
Excellent attention to detail and accuracy
Strong written and verbal communication skills
Comfortable communicating directly with customers
Ability to operate and troubleshoot mechanical or printing equipment
Strong computer skills and ability to learn new software and systems
Experience with invoicing, billing, or payment tracking preferred
Ability to manage multiple projects and priorities at the same time
Self-motivated and able to work independently
Reliable, dependable, and willing to take ownership of responsibilities
Comfortable working in a hands-on production environment

What We're Looking For

We are looking for someone who wants to take ownership of the mailhouse and become a dependable part of the day-to-day operation. This role is ideal for someone who enjoys a combination of hands-on production work, customer service, administrative tasks, and problem-solving.

The right person will be someone who can see what needs to be done, prioritize tasks, and follow a project through from the initial customer order to final production and mailing. Because this is a key operational role, reliability, attention to detail, and the ability to troubleshoot problems are extremely important.

Compensation & Benefits

Full-time position
$45,000–$55,000 annual salary, based on experience and qualifications
