Overview

This role is more than managing calendars and booking meetings—it’s about creating order in the midst of complexity and helping leadership stay focused on what matters most. The Executive Ministry Assistant is the right hand to the Executive, ensuring priorities move forward, details don’t slip through the cracks, and communication flows seamlessly. Nature of the Role

Some days you’ll be a problem-solver under pressure, tackling unexpected challenges with calm and clarity. Other days, a master multitasker, keeping multiple priorities in motion without missing a beat. You’ll need the foresight of a strategic thinker, anticipating needs before they arise, and the grace of a relationship builder, communicating with excellence and empathy. Key Responsibilities

Executive & Administrative Support

Manage calendars, schedule meetings, and coordinate travel for the Executive.
Prepare agendas, presentations, and briefing materials for meetings.
Draft, proofread, and manage correspondence with professionalism and confidentiality.
Screen and prioritize incoming communications, ensuring timely responses.

Event & Meeting Coordination

Organize and execute meetings, trainings, and special events, including logistics, catering, and materials.
Provide on-site support during events to ensure excellence in execution.

Office & Operational Support

Assist with budget tracking, invoice processing, and purchasing card reconciliations.
Maintain organized filing systems and manage sensitive information with discretion.
Coordinate with vendors and service providers as needed.

Frontline & Team Support

Serve as a welcoming point of contact for staff, guests, and ministry partners.
Support cross-functional projects and provide backup assistance to other executive offices as needed.

What We’re Looking For

Experience: 3+ years in executive or senior administrative support (ministry or nonprofit experience a plus).

Skills:

Exceptional organizational and time-management abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite and ability to learn new systems quickly.

Attributes:

High level of discretion and confidentiality.
Ability to anticipate needs and solve problems proactively.
Positive, team-oriented attitude with a heart for ministry.
