About the Company

Vencomatic North America is the exclusive distributor for European poultry farming equipment manufacturers. The office/warehouse in Adel, IA provides support for US and Canada markets. The product line includes simple egg collection systems, large/complex poultry equipment installations, and/or automated egg handling.

Job Overview

The Office Administrator is responsible for supporting the daily operations of the office. This position will be responsible for answering phones, supporting invoicing activities, ordering office supplies, coordinating marketing and promotional materials, booking travel and accommodations, and tracking vehicle maintenance, registration, and insurance.

Responsibilities

· Answer all incoming phone calls and transfer calls to the appropriate person.

· Retrieve and distribute incoming mail.

· Support the finance team with invoicing activities.

· Prepare weekly bank deposits.

· Book travel and accommodation as needed.

· Order and maintain office supplies.

· Order and track marketing and promotional materials.

· Maintain records of vehicle maintenance and ensure servicing is completed on time.

· Coordinate annual vehicle registrations.

· Ensure insurance and registration documents are available in company vehicles.

· Support and maintain field technician work schedules.

Skills, Experience & Qualifications

· Experience in office administration or a similar administrative role.

· Strong written and verbal communication skills in English.

· Strong organizational skills and attention to detail.

· Ability to manage multiple priorities and meet deadlines.

· Proficiency in Microsoft Office applications.
