Full Job Description

Make a meaningful difference behind the scenes by supporting individuals and families through their grief journey. As a Bereavement Administrative Assistant (32 hours a week), you'll provide compassionate administrative support, help coordinate bereavement programs and events, and support every participant with the care, communication, and resources they need.

What you’ll do as a Bereavement Administrative Assistant:

Maintains the confidentiality of patients, families, colleagues and other sensitive situations within Hospice of the Piedmont (HOP).
Maintains accurate individual records and tracks all bereavement-related contacts and participation in the EMR system(s), including distribution of consent forms for groups, workshops, and individual counseling.
Tracks, prepares and coordinates the scheduled mailings such as condolence cards, flyers, event calendars, and evaluations.
Provides administrative support in the planning and execution of Bereavement program events.
Emails reminders to attendees about upcoming support groups, camps, workshops and other events and monitors registrations.
Tracks and orders supplies, books, and other supporting materials.
Answers incoming phone calls, including calls from individuals and families who may be experiencing grief following the loss of a loved one, providing basic information, answering questions, and referring bereavement calls to members of Bereavement team or other appropriate HOP staff.
Compiles bereavement statistics and reporting data.
Coordinates with volunteers who assist with administrative tasks.
Supports front office staff by providing reception coverage when needed.

Qualifications:

High School Diploma or GED required. Associate degree in business-related field preferred.
Experience working for a foundation or non-profit organization preferred.
Experience in a position that interacts and provides customer service frequently to vulnerable and grieving individuals preferred.

Essential Skills for Success:

Strong knowledge of office practices, procedures, and equipment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with EMR/EHR systems
Highly organized and detail-oriented
Effective team collaboration and independent work skills
Excellent written and oral communication; strong proofreading ability
Emotional maturity, compassionate, warm and collaborative

Typical Physical Demands/Working Conditions:

Sit, stand, stoop, bend, reach, lift and walk, climb steps
Extended periods of sitting, desk-bound activities
Lifting up to 20 pounds
Verbal and written communication skills, including ability to use phone and computer efficiently
