Position Overview

Focus Practice Management is seeking an experienced Accounting & HR Manager to lead our accounting, payroll, and human resources functions. This critical role serves as the primary point of contact for all financial and HR matters, managing accounting operations, payroll processing, benefits administration, and HR compliance. The position requires expertise in QuickBooks Online, Gusto platform administration, and multi-entity accounting for professional service firms. The successful candidate will work closely with the CFO and leadership team to ensure accurate financial reporting, timely payroll execution, and effective HR support for both Focus Practice Management and its client organizations. Key Responsibilities

The Accounting & HR Manager will be responsible for the following essential functions:

Daily bank reconciliation, deposit processing, credit card postings, and backup payment processing support
Process bi-weekly payroll, member distributions, and management fees using Gusto platform
Monthly insurance audits and rent payments
Employee onboarding, benefits enrollment, compliance documentation, and general employee-related process support
Quarterly tax filings and commission calculations
Annual audits and salary adjustments
Maintain HR systems and employee records, ensuring compliance with employment laws and company policies
Serve as primary Gusto administrator, managing user permissions, recruiting functions, and system configuration for HR and payroll operations
Coordinate with external accounting firms and provide financial data and documentation as requested
Respond to employee inquiries regarding payroll, benefits, time off requests, and HR policies

Required Qualifications

Candidates must possess the following minimum qualifications to be considered for this position:

Bachelor degree in Accounting, Finance, Business Administration, or related field, or equivalent combination of education and experience.
Minimum 3-5 years of progressive experience in accounting and HR management, preferably in professional services or healthcare practice management environment.
Demonstrated proficiency with QuickBooks Online for multi-entity accounting and financial management.
Strong working knowledge of Gusto or similar HRIS/payroll platforms for payroll processing and benefits administration.
Solid understanding of payroll tax regulations, employment law compliance, and HR best practices.
Excellent organizational skills with proven ability to manage multiple priorities and meet strict deadlines.
Strong attention to detail and commitment to accuracy in financial and employee data management.
Effective written and verbal communication skills for interacting with employees, leadership, and external partners.
Ability to maintain confidentiality and exercise discretion when handling sensitive financial and personnel information.

Preferred Qualifications

The following qualifications are preferred but not required: Professional certification such as Certified Public Accountant (CPA), Professional in Human Resources (PHR), or Society for Human Resource Management Certified Professional (SHRM-CP). Experience with credentialing processes and healthcare practice management systems. Familiarity with professional service firm accounting, including billing, trust accounting, and client matter management. Prior experience managing benefits administration including health insurance plan coordination and 401(k) plan oversight. Knowledge of New York State employment law and local tax regulations. Experience implementing or optimizing accounting and HR technology platforms. Proven track record supporting organizational growth and process improvement initiatives.

Compensation and Benefits

Focus Practice Management offers a competitive compensation and benefits package including:

Competitive salary commensurate with experience and qualifications.

401(k) retirement plan with 3% employer contribution, with eligibility beginning January 1st or July 1st following introductory period.

Work Environment and Schedule

This is a full-time, in-office position located at Focus Practice Management's Webster, NY office. The standard work schedule is Monday through Friday from 8:00 AM to 5:00 PM with a one-hour lunch period, totaling 40 hours per week. The role requires the ability to work in a professional office environment with extended periods of computer use for accounting, payroll, and HR management systems. Occasional flexibility may be required during peak periods such as month-end close, payroll processing deadlines, and benefits enrollment periods. The position reports directly to the CFO and works collaboratively with the entire Focus Practice Management team.
