Full Job Description

Position Title: Switchboard Operator/Administrative Support Clerk

Department: HR/ Administration FLSA: Non-exempt/hourly

Job Summary

Greets visitors, patients and patient families to the facility. Answers multi-line phone with excellent customer service skills; directing calls accurately, following up on calls placed on hold in a timely manner, recording accurate messages and information for all departments as needed. Places calls in voicemail after attempting to locate employee. Notifies callers of direction of call (ie. Placing on hold; putting through to voicemail, etc.) Operates the overhead paging system in compliance with protocol. Processes all private pay, insurance and all credit card payments as per departmental policy. Completes various tasks for the Business Office as requested. Maintains incoming and outgoing mail for entire facility. Maintains postage meter including but not limited to adding postage, changing the postage date daily and updating the system as required by the US Postal Service. Assists in dispersing paychecks on a bi-weekly basis. Maintains cash drawer and balances daily. Provides clerical assistance for all departments as requested and works cooperatively with all departments. Performs general office duties; typing, filing, copying, record keeping, inventory of supplies. Maintains professional atmosphere at all times. Represents the organization in a positive manner at all times at work and in the community.

Education, Training and Experience

High school diploma with medical office or customer service experience preferred.

Special Equipment/Skills

Ability to use a multi-line switchboard, personal computer, calculator, copier, postage scale and meter, credit card machine and other business office machines. Must be accurate and have excellent organizational skills.

Work Environment Hazards

Minimal exposure to odors, infection and communicable diseases.

Work Contact Group

General public, all CMH employees and contractors, business associates and representatives, patients, residents and their families.

Special Physical Demands

Light physical effort, able to lift 20 lbs. Seated for long periods of time. Flexible schedule due to patient demands. Multitasking.
