We are looking for an experienced Business Office Manager to join our dynamic team at the Avenue at Lyndhurst! Qualified candidate must have a minimum of 2 years' experience as a Business Office Manager in nursing home setting billing & collections!

The Business Office Manager is responsible for developing, implementing, and maintaining systems to ensure efficient operation of the facility’s business office. This position ensures financial stability, regulatory compliance, and accurate record-keeping while maintaining confidentiality in all resident financial matters. The Business Office Manager oversees admission and financial systems in accordance with federal, state, and local requirements.

Job Duties Responsibilities include:

Business Office Administration:

Organize, direct, and supervise all business office functions.
Coordinate business office activities with other departments to ensure seamless operations.
Evaluate technology and computer system needs for the business office.
Hire, orient, train, and supervise business office personnel, ensuring efficiency and accountability.
Develop and maintain accurate admission records and financial systems.
Assure prompt retrieval and confidentiality of resident financial and admission records.

Financial Management & Compliance:

Maintain financial systems that ensure facility operations remain fiscally sound.
Prepare, submit, and analyze financial reports, statistics, and resident census data.
Verify resident accounts, review charges, and generate accurate statements.
Manage accounts receivable and accounts payable, ensuring proper documentation and tracking.
Balance daily receipts, reconcile bank statements, and oversee financial transactions.
Communicate and collaborate with fiscal intermediaries, accountants, auditors, and insurance providers.
Process billing for Medicare, Medicaid, private insurance, and other payer sources.
Follow up on account collections, including working with collection agencies as necessary.
Ensure compliance with all federal, state, and local regulations governing financial and admission processes.

Resident & Staff Relations:

Maintain accurate records of residents’ financial status while ensuring strict confidentiality.
Interview residents and their representatives to establish financial arrangements.
Prepare invoices, checks, and payment-related documentation.
Develop positive working relationships with residents, families, staff, physicians, and external consultants.
Support compliance with resident rights policies and procedures within financial operations.

Qualifications:

Education & Experience:

High school graduate with business office training required; college degree preferred.
Strong working knowledge of Medicare, Medicaid, and nursing home financial regulations.
Minimum of 2 years experience as a Business Office Manager in a skilled nursing facility is preferred.
Skills & Competencies:
Excellent organizational and management abilities.
Attention to detail in financial and record-keeping processes.
Strong interpersonal and communication skills.
Proficiency in handling confidential resident information.
Ability to work collaboratively with administration and regulatory agencies.

Physical & Professional Requirements

Ability to move intermittently throughout the facility and maintain office operations.
Must be able to communicate effectively in English.
Ability to handle sensitive financial matters with professionalism and discretion.
Must demonstrate integrity, ethical conduct, and attention to detail.
Capable of working with residents who may be elderly, disabled, or experiencing financial distress.
