ABOUT THE WYO SPORTS RANCH (WSR):

The WYO Sports Ranch is a premier multi-sport training, recreation, events and entertainment facility that serves as a hub for a variety of sports as well as many other recreation and community pursuits. WSR is located in Casper, Wyoming, featuring 10 basketball courts, 20 volleyball courts, and a vibrant food service area with multiple vendors.

WSR’s mission is to provide Wyoming and the surrounding community a unique, state-of-the-art facility for competition, training, and special events, while emphasizing the importance of physical and mental health and promoting an active lifestyle for our youth.

WSR’s vision is a multi-sport training, recreation, events, and entertainment facility that will serve as a hub for a variety of sports as well as many other recreation and community pursuits. The facility will provide an atmosphere of community for sports clubs, event organizers, and participants. The facility will focus on four principal offerings: Youth sports training programs, clinics and camps Sports performance and fitness training Youth leagues, tournaments and events Facility rental for family-friendly, social gathering events

POSITION OVERVIEW:

The Event Coordinator is responsible for creating a world-class guest experience for all WSR visitors, athletes, families, and event organizers. The event coordinator will organize and execute non-sports events and celebrations, and support front-line services and standards at WYO Sports Ranch. Reporting to the Director of Business Development & Partnerships, this position ensures all visitors, athletes, families, and partners receive outstanding service and that events are executed to the highest standard.

This role serves as the point of contact for guests and community partners, specifically as it relates to non-sports events, celebrations, and, as needed, events and programming. The ideal candidate is detail-oriented, service-driven, and passionate about creating memorable experiences through hospitality and event excellence.

KEY RESPONSIBILITIES:

Event Coordination

· Work with prospective clients through on-site and over-the-phone visits highlighting WSR’s capabilities.

· Connect prospective clients with WSR capabilities to offer state-

of-the-art event and celebration opportunities including but not

limited to birthdays, retirements, graduations, and Holiday parties.

· Build and maintain positive relationships with schools, clubs,

organizations, and community partners.

Event Support & Execution

· Assist in planning, coordinating, and executing new and existing events, leagues, tournaments, and facility rentals.

· Assist with set-up, breakdown, and operational logistics for events, ensuring efficiency and quality.

· Serve as onsite support liaison between Event Operations, Sports & Programming, Marketing and Guest Services teams.

· Assist with maintaining event documentation, contracts, and schedules to ensure smooth execution and communication.

· Serve as facility representative during events, acting as Manager on Duty when required.

· Assist with credentialing, admissions, cash control and revenue control procedures.

Guest Experience & Engagement

· Oversee check-in processes and service standards.

· Support membership sales initiatives and retention strategies.

· Ensure accurate member account management and communication.

· Promote member benefits, programs, and upcoming events.

· Track membership trends and provide feedback to leadership.

Customer Service Excellence

· Foster a culture of hospitality and proactive service within the Guest Services team.

· Create and maintain a welcoming environment in all guest-facing areas.

· Monitor customer feedback channels and implement service improvements.

· Engage with guests during events to anticipate needs and enhance the experience.

Operations & Reporting as Assigned

· Assist in monitoring and tracking attendance, participation, and customer satisfaction metrics as directed.

· Collaborate with marketing, programming, and operations teams to ensure seamless delivery of events and programs.

· Research industry best practices and competitor offerings to continuously improve WSR’s guest and event services.

· Foster a team culture focused on hospitality, urgency, and professionalism.

QUALIFICATIONS:

· Bachelor’s degree in Hospitality, Sports Management, Event Management, or related field (or equivalent experience).

· 3+ years of guest services, event management, or facility operations experience—preferably in sports, recreation, or hospitality.

· Experience supervising staff and managing customer-facing operations.

· Strong organizational, communication, and problem-solving skills.

· Ability to work evenings, weekends, and holidays to support

events.

· Work is primarily on-site in a dynamic, event-driven environment.

· Limited travel may be required.
