Job Summary

We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily business functions with professionalism and enthusiasm.

Duties

Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel valued from the moment they arrive
Manage multi-line phone systems to handle inquiries efficiently, directing calls appropriately and providing excellent customer support
Maintain accurate data entry records using productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools
Oversee appointment scheduling and calendar management to coordinate meetings and appointments seamlessly
Handle clerical tasks including filing, proofreading documents, and managing correspondence with attention to detail
Support office operations by managing supplies inventory, organizing files, and performing general administrative duties
Utilize technical proficiency in computer literacy, QuickBooks (if applicable), and other office management systems to streamline workflows

Requirements

Proven experience in office management or administrative support roles with strong organizational skills
Excellent customer service skills with a friendly phone etiquette and effective communication abilities
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
Ability to operate multi-line phone systems confidently and handle multiple tasks simultaneously
Bilingual abilities are highly desirable to assist diverse client needs effectively
Strong typing skills with attention to proofreading and accuracy in all written communications
Experience as a dental or medical receptionist or personal assistant is a plus but not required
Knowledge of bookkeeping practices such as QuickBooks is advantageous for financial record-keeping tasks
Demonstrated ability to manage time efficiently and prioritize responsibilities in a fast-paced environment
