Overview

We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will be the backbone of our daily operations, ensuring that office functions run smoothly and efficiently. Your energetic approach and attention to detail will help create a welcoming environment for clients, support team members, and maintain seamless administrative workflows. This paid position offers an exciting opportunity to develop your skills in office management and customer service while contributing to a vibrant workplace.

Responsibilities

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support.
Handle data entry tasks with accuracy using spreadsheets and productivity software such as Microsoft Office and Word processing tools.
Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents.
Assist with calendar management and scheduling appointments for staff members or clients.
Support office management activities by coordinating supplies, managing inventory, and overseeing general administrative duties.
Provide clerical support including typing, document preparation, and maintaining office records.
Communicate effectively with clients and team members via phone, email, or in person while demonstrating excellent phone etiquette and organizational skills.

Requirements

Proven experience in an office environment with strong clerical and administrative skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software.
Experience using QuickBooks or similar accounting software is a plus.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
Strong computer literacy including data entry, file management, and technical proficiency.
Bilingual abilities are preferred to assist diverse client needs.
Previous experience in front desk or customer service roles demonstrating excellent phone communication and professionalism.
Ability to manage time effectively and prioritize tasks independently.
Personal assistant or office management experience is advantageous but not required.
