Full Job Description

St. Brendan’s Episcopal Church is seeking an organized, personable, and dependable Parish Administrator to oversee the day-to-day administrative operations of the parish. This position serves as an important point of connection for parishioners, visitors, clergy, ministry leaders, vendors, and community partners, helping ensure that the church office is welcoming, organized, responsive, and running smoothly.

The ideal candidate is a strong communicator and self-starter who enjoys working with people, can manage multiple priorities with care and discretion, and is comfortable working independently while collaborating closely with clergy and lay leadership.

Key Responsibilities

Office & Parish Administration

Serve as the welcoming first point of contact for parishioners, visitors, community members, vendors, and facility renters.
Respond to inquiries and requests with warmth, professionalism, and appropriate discretion, referring pastoral or specialized matters to clergy or appropriate parish leaders.
Manage the day-to-day operations of the parish office, including mail, office supplies, kitchen and janitorial supplies, records, files, and equipment.
Maintain organized electronic and physical records, including personnel, building and maintenance, membership, and parish administrative records.
Manage annual service contracts and coordinate with vendors and service providers.
Maintain the parish master calendar, including worship, ministry activities, meetings, events, and facility rentals.
Manage building keys and electronic access, maintaining accurate access records and coordinating distribution and retrieval.
Assist facility renters and service providers as needed.

Support for Clergy & Parish Leadership

Provide administrative support to the Rector/Priest-in-Charge.
Support wardens, Vestry members, employees, and ministry leaders in carrying out parish programs and responsibilities.
Coordinate administrative details and follow up on tasks to help parish leadership operate effectively.

Membership & Parish Records

Maintain accurate parish membership records in PowerChurch and related databases.
Support the welcoming and follow-up process for newcomers in collaboration with clergy and parish leadership.
Maintain official parish records, including records of baptisms, confirmations, weddings, deaths, and other sacramental events.
Prepare certificates and other official documents as needed.
Maintain the parish necrology and Letter of Transfer records.
Assist with the preparation of the annual Parochial Report and other required parish reports.

Communications

Coordinate parish-wide communications in collaboration with clergy and lay leadership.
Create and distribute emails, announcements, invitations, and other communications using Mailchimp and other appropriate tools.
Respond promptly to incoming phone calls and email, directing questions and messages to the appropriate person.
Coordinate the preparation and distribution of worship bulletins, the weekly newsletter, Prayers of the People, and other parish communications.
Assist ministry leaders with flyers, signup sheets, printed materials, and other communications.
Prepare thank-you notes, memorial acknowledgements, and other correspondence.
Collaborate with website and social media volunteers to keep parish information current and accurate.

Financial & Administrative Support

Process parish financial transactions in accordance with policies established by the Vestry and Treasurer.
Deposit weekly contributions and maintain accurate contribution records.
Process vendor payments and assist with accounting and transaction entry in QuickBooks.
Coordinate payroll and benefits administration with the Diocese and appropriate vendors.
Work across multiple systems, including PowerChurch, QuickBooks, vendor portals, and other parish software.
Coordinate with the Treasurer, Finance leadership, and Investment Committee on banking and accounting activities.
Assist with the annual audit and budgeting processes, including entering the approved budget into QuickBooks.
Prepare annual financial and administrative reports, including donor statements and 1099s for vendors as required.
Assist the Stewardship Committee with annual stewardship communications and materials.

Building, Safety & Compliance

Coordinate routine building inspections, maintenance appointments, and regulatory requirements in collaboration with parish leadership.
Serve as a point of contact for fire, HVAC, elevator, pest control, and other building-related service providers.
Maintain appropriate records related to building maintenance, inspections, and compliance.
Help ensure that parish facilities are safe, well-maintained, and ready for worship, ministry, and community use.

Emergency & General Parish Support

Serve as an emergency point of contact for the parish, including occasional after-hours or weekend situations, and involve clergy or appropriate lay leaders as needed.
Visit the Post Office or run other occasional parish errands.
Order flowers and other items for parishioners marking significant life events.
Provide general administrative assistance wherever needed to support the ministry and mission of St. Brendan’s.

Qualifications

The successful candidate will demonstrate:

Excellent organizational skills and strong attention to detail, with the ability to manage multiple priorities and follow through independently.
Strong written and interpersonal communication skills and a warm, professional manner when interacting with parishioners, visitors, vendors, and community members.
Strong administrative and computer skills, including proficiency with Google Workspace, particularly Gmail, Google Docs, and Google Sheets.
Experience with or willingness to learn QuickBooks, PowerChurch, Mailchimp, and other administrative software.
Sound judgment and discretion, with the ability to maintain strict confidentiality regarding pastoral matters, parishioner information, personnel records, and financial information.
The ability to work independently with minimal day-to-day supervision while communicating proactively with clergy and lay leadership.
A collaborative, service-oriented approach and the ability to work effectively with people of varying ages, backgrounds, and levels of involvement in parish life.
Flexibility, reliability, and a willingness to pitch in where needed to support the parish community.
