Position Overview:

The Virtual Executive Administrative Assistant is a remote position for a highly skilled administrator committed to serve and operate in a spirit of excellence in support of the Executive Pastor. This role requires exceptional organizational skills, discretion, professionalism, capacity to manage complex schedules, communications and the ability to strategically prioritize signature projects/invitations.

Key Responsibilities:

Manage Executive Pastor professional and ministry calendars in tandem with assigned church executive in-person administrator.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, expense reporting and logistics.
Serve as the primary point of contact for all booking requests related to Executive Pastor.
Track all booking submissions and ensure timely follow-up
Negotiate booking fees, contracts, and speaking/appearance terms + Manage booking financial deposit confirmations, invoice processing and expense management
Screen, prioritize and respond to incoming emails, letters and correspondence on behalf of Executive Pastor when appropriate.
Prepare and edit correspondence, presentations, and executive communications.
Review and process contracts, riders, and related documentation.
Organize and coordinate Monthly/yearly booking schedule and prepare weekly calendar updates/requests for Executive Pastor to review.
Manage confidential and sensitive information with the highest level of discretion.
Support strategic initiatives, special projects, and cross-functional programs/events when requested.
Maintain and manage Executive Pastor’s contracts, files, and database.
Ensure all contractual obligations are fulfilled before, during, and after booking dates.

Qualifications:

· A strong faith in Jesus Christ and alignment with New Birth’s mission and beliefs

· Experience supporting C-level executives

· Strong organizational and project management skills.

Excellent written and verbal communication abilities.
Ability to work well under pressure + manage multiple invitations
Proficiency with Microsoft Office, Google Workspace, and other communication platforms.
Ability to work collaboratively with other staff and executive administrators.
