Wedding Sales & Planning Assistant Job Description, Black Canyon Catering

Location: Black Canyon Catering at Black Canyon Inn

Department: Events & Catering

Reports to: Wedding Experience Manager & Sales Manager

Position Overview:

The Wedding Sales & Planning Assistant is a full-time, office-based member of the wedding department who provides administrative, operational, and client support to the Sales Manager and Event Coordinators. As the organizational hub of the department, this position manages key workflows, maintains accurate client records, coordinates communications, and ensures planning milestones remain on schedule. Through sales support, planning administration, venue tours, marketing support, and operational coordination, the Wedding Sales & Planning Assistant plays an integral role in delivering an exceptional experience for every couple.

Sales & Client Experience Support

Schedule, confirm, and conduct venue tours as assigned.
Ensure event spaces are clean, organized, and tour-ready prior to scheduled appointments.
Prepare client estimates for Sales Manager review.
Maintain accurate client records, notes, and communication history within the CRM.
Assist with maintaining venue availability calendars and booking systems.
Process client deposits and distribute payment receipts.
Prepare wedding packets, informational materials, and client resources.
Follow up on outstanding documents, deposits, and client action items.
Invite clients to Catering Showcase events and assist during showcase experiences.
Respond to general client inquiries via phone and email, directing specialized questions to the appropriate team member.

Wedding Planning & Administrative Support

Maintain coordinator assignments within department calendars, CRM, and client files.
Send Planning Portal access and assist clients with portal navigation.
Schedule planning meetings, menu confirmation calls, rehearsals, and other client appointments.
Coordinate tasting showcase invitations and RSVP tracking.
Monitor planning milestones and assist in keeping clients on schedule throughout the planning process.
Assist in preparation of wedding day coordination packets and event documents.
Prepare final invoices for coordinator review and distribute invoices to clients.
Monitor payment schedules, confirm final payments, and communicate payment reminders when necessary.
Maintain organized digital and physical client files.
Assist booked couples with general questions while connecting specialized requests to the appropriate coordinator, culinary, bar, or leadership team member.

Marketing Support:

Design and personalize photo booth templates using approved software and event information.
Load customized photo booth templates prior to each event.
Download, organize, and distribute digital photo booth galleries following events.
Maintain an organized digital library of wedding photography.
Save, organize, and categorize approved wedding photos for future marketing use.
Upload approved images to Pinterest and other marketing platforms as directed.
Support department projects, data entry, and ongoing process improvements.

Event & Venue Support:

Assist Event Coordinators with light venue preparation, including linen placement, ceremony chair adjustments, and final presentation touches as needed.
Communicate setup discrepancies or facility concerns to the Event Coordinator.
Provide ceremony support as scheduled.
Assist with Catering Showcases, open houses, and other wedding department events.

Skills, Qualifications, and Professional Expectations:

In-person position at our Estes Park, CO property
Previous wedding, event, or hospitality experience is preferred
Team-oriented mindset and collaboration skills
Strong organizational, multitasking, and time-management skills
Strong verbal and written communication abilities
Strong attention to detail and follow-through
Hospitality-driven approach and professionalism – guest first mentality!
Regular weekend availability necessary – we work when our guests celebrate!

Pay: $24.00 - $26.00 per hour
