Seattle Christian Counseling (SCC) and its affiliated Christian counseling management organizations support independent therapist practices in Washington, California, and Texas. We currently support approximately 160 therapy practices by providing comprehensive operational services, including credentialing, billing, marketing, reception, and office administration. The Opportunity
We are seeking a Behavioral Health Credentialing and Billing Specialist to help build our internal credentialing and billing capabilities as we move toward bringing more of these functions in-house.
The position will initially focus on bringing credentialing in-house and providing centralized support for private-pay billing within our Ritten EHR. Over time, the role will expand to bring insurance billing and broader revenue cycle operations in-house.
The person in this role will serve as the primary owner of these functions and will lead and create the workflows, processes, and systems used to manage them as they are brought in-house.
We are looking for someone who wants more than a narrowly defined billing or credentialing position. The right candidate will enjoy ownership, problem-solving, process improvement, and the opportunity to help build a scalable operation supporting approximately 160 independent therapist practices.
Primary Responsibilities
Credentialing and Provider Enrollment:
- Oversee and manage the full credentialing and recredentialing process for mental health therapists in Texas, Washington, and California, ensuring steady progress with insurance companies, maintaining clear visibility for leadership and therapists, and pursuing improved reimbursement rates for private practice clinicians.
Private Pay Billing Support:
- Oversee and manage private pay billing within our Ritten EHR system by identifying and resolving blocked encounters, failed payments, and balance discrepancies, correcting errors, coordinating payment updates, and documenting and tracking issues through to resolution.
AI Integration and Report Building:
- Utilization of internal AI tools for report building, claim fixing, and billing/financial audits.
Therapist Payment Questions and Disputes:
- Serve as the primary contact for therapist payment inquiries, billing questions, and account discrepancies.
- Investigate and resolve payment issues by reviewing financial records, identifying root causes, and coordinating with internal teams.
- Communicate financial information clearly and professionally while maintaining accurate documentation and supporting a positive provider experience.
Insurance Claims and Revenue Cycle Operations
- As the role expands, work rejected, denied, held, or unpaid claims through resolution.
- Correct and resubmit claims when appropriate.
- Assist with payer appeals and follow up.
- Identify coverage, eligibility, authorization, coding, modifier, provider identifier, enrollment, clearinghouse, or payer processing issues.
- Track claims through final resolution and escalate when outside involvement is required.
Therapist Training and Support
- Conduct Google Meet sessions to guide therapists through credentialing, billing, and administrative tasks, resolve workflow issues, and provide clear instructions to prevent errors.
Workflow Improvement and Reporting
- Develop and improve credentialing and billing workflows, tools, and procedures to increase efficiency and accuracy.
- Identify recurring issues, determine root causes, and recommend process improvements.
- Maintain organized tracking of work queues, priorities, and unresolved items.
- Provide regular updates on progress, outstanding issues, and support needs.
- Collaborate across departments to improve communication and workflow handoffs.
- Participate in cross-functional meetings, document outcomes, and ensure follow-up actions are completed.
- Use approved tools, including AI-assisted platforms, to support reporting and workflow management.

- CAQH profiles and provider records remain current.
- Therapists receive clear and timely updates.
- Blocked encounters and unresolved balances are reduced.
- Therapist payment disputes are researched and explained clearly.

Required Qualifications
- At least five years of experience in behavioral health credentialing, provider enrollment, medical billing, revenue cycle operations, or a comparable healthcare administrative role.
- Experience with credentialing, CAQH, payer portals, private pay billing, insurance claims, accounts receivable, payment posting, and reconciliation.
- Experience credentialing LPCs, LMFTs, LCSWs, psychologists, or associate-level clinicians, including multistate credentialing.
- Experience training or onboarding providers.
- Intermediate or advanced Google Sheets or Excel skills.
- Experience using AI tools for improving communication, report building within data bases, and billing/financial audits.
- Experience with Ritten, Wrike, or similar systems.
- Ability to identify and resolve inaccurate balances, unapplied payments, incorrect adjustments, and billing discrepancies.
- Experience handling payment questions, billing disputes, and account balance concerns with clear, professional communication.
- Strong customer service, communication, spreadsheet, and tracking skills.
- Ability to manage multiple open issues with strong attention to detail and follow through.
- Ability to work independently and move tasks forward without close supervision.
- Experience using Google Meet, Zoom, or similar platforms, including screen sharing and live provider guidance.
- Professional video presence and comfort participating in recorded meetings using approved AI tools.
- Ability to maintain HIPAA compliant work practices.
- Private workspace and stable high speed internet (minimum 10mb upload).
- Ability to collaborate across remote teams and work across time zones, including occasional evenings.
Preferred Qualifications
- Experience with Texas, Washington, or California payer systems and commercial, Medicare, or Medicaid enrollment.
- Experience negotiating reimbursement rates or setting up electronic fund transfers.
- Experience in a group practice, MSO, billing company, or behavioral health organization.
- Experience developing credentialing or revenue cycle procedures; familiarity with SQL or database reporting is a plus.
Who This Role Is a Good Fit For

You should be comfortable moving between credentialing, billing, claims, payments, therapist support, patient communication, and internal coordination.
You should be able to determine why an issue is stuck, identify what needs to happen next, and follow through until it is resolved.
The right person is organized, steady, detail oriented, professional, patient, and comfortable with technology.
This role may not be a fit for someone who prefers narrowly defined tasks, avoids payer follow up or difficult billing conversations, dislikes detailed administrative work, or requires frequent reminders.

Credentialing delays prevent therapists from joining insurance panels and serving patients.
Billing problems delay therapist revenue, create inaccurate patient balances, and increase administrative work.
The person in this role will help build a scalable credentialing and revenue cycle function for approximately 160 independent therapist practices.
Strong performance will allow therapists to focus more of their time on patient care while the administrative and financial side of their practices is supported accurately.
As the department grows, this position may develop into a lead role with greater responsibility for workflows, training, reporting, and additional team members.

The candidate must participate in regular administrative meetings for several hours each week, attend multiple one-on-one meetings with therapists, and be available for one or two evenings per week as needed to connect with therapists outside of regular business hours.
Pay: $70,000.00 - $85,000.00 per year
