Full Job Description

Position Summary

We are seeking a highly organized, energetic, and creative Administrative & Marketing Coordinator to support the daily operations and marketing initiatives of a commercial shopping center. This position plays a vital role in ensuring efficient office operations while helping drive customer engagement, community outreach, events, and property marketing efforts.

The ideal candidate is detail-oriented, customer-focused, and comfortable balancing administrative responsibilities with creative marketing projects. This role works closely with property management, tenants, vendors, and community partners to help create a positive shopping experience and promote the success of the center.

Essential Duties & Responsibilities

Administrative Support
Provide administrative support to the General Manager and property management team.
Answer and direct phone calls, emails, and visitor inquiries professionally.
Maintain office files, records, contracts, and tenant documentation.
Assist with invoice processing, purchase orders, and vendor coordination.
Prepare reports, correspondence, meeting agendas, and presentations.
Maintain office supplies and support daily office operations.
Assist with tenant communications and property notices

Marketing & Events

Assist in planning, coordinating, and executing shopping center events, promotions, and community outreach programs.
Manage and update the property's social media platforms and website content.
Create marketing materials, flyers, email campaigns, newsletters, and promotional content.
Coordinate advertising efforts with local media, vendors, and community organizations.
Support seasonal campaigns, grand openings, tenant promotions, and special events.
Capture photos and content for social media and marketing initiatives.
Monitor marketing performance and prepare reports on campaign effectiveness.

Tenant & Community Relations

Serve as a point of contact for tenant marketing requests and promotional opportunities.
Build positive relationships with tenants, community organizations, and local businesses.
Assist tenants with event participation, promotional materials, and center-wide marketing initiatives.
Support sponsorship opportunities and community partnerships.

Customer Service

Respond to customer inquiries and concerns in a professional and timely manner.
Assist with guest services and customer engagement efforts.
Help ensure a welcoming and positive experience for shoppers and visitors.

Qualifications

Required

High school diploma or equivalent required; Associate's or Bachelor's degree in Marketing, Business Administration, Communications, or related field preferred.
1–3 years of administrative, marketing, office management, or customer service experience.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with social media platforms including Facebook, Instagram, LinkedIn, and TikTok.
Ability to work independently and collaboratively in a fast-paced environment.
