Full Job Description

Front Desk / Access Center Associate

As a member of the Access Center / Front Services Associate team, you are flexible, a quick learner, and versatile. You possess strong communication skills—both written and verbal—and a sound work ethic. You approach your job with a positive and balanced attitude and have a thorough understanding of the Agency’s policies and overall mission.

This position is often the first point of contact for clients and community members, so professionalism, empathy, and excellent customer service are essential. You will support agency operations through client engagement, scheduling, billing, and payment collection while maintaining confidentiality and accuracy in all interactions.

Key Responsibilities

Customer Service: Engage with clients, community members, and staff both in person and over the phone in a professional, courteous, and compassionate manner.
Scheduling & Documentation: Schedule and confirm appointments, check clients in and out, and accurately enter and update client information and contacts in the electronic health record (EHR).
Billing & Payment Collection:
Process client payments at time of service, including cash, checks, and credit cards.
Reconcile daily payments and maintain accurate financial records in accordance with agency procedures.
Communicate with clients regarding account balances, co-pays, and billing questions, coordinating with the billing department as needed.
Coordination & Communication: Direct inquiries appropriately and facilitate communication between clients, clinicians, prescribers, and external professionals.
Administrative Support: Greet and direct vendors (including those delivering subpoenas or records requests). Assist with general office duties as assigned.
Resource Knowledge: Develop familiarity with agency programs and community resources to effectively direct calls and inquiries.

Qualifications

High School Diploma required; Associate Degree or related certification preferred.
Minimum 1 year of experience in a fast-paced front office, medical, or behavioral health setting.
Proficiency with Microsoft Office and comfort using electronic health record systems.
Strong organizational skills and the ability to multitask effectively.
Balanced and patient temperament, with a professional demeanor.
Bilingual (English/Spanish) strongly preferred.
Hours M-W 12PM-8PM; Thu & Fri 9AM-5PM
