Full Job Description

Trailhead CPA is looking for a friendly, organized, and dependable Receptionist / Administrative Assistant to join our Emmetsburg office.

This is an important client-facing position. You’ll often be the first person our clients speak with or see when they contact the firm, so we’re looking for someone who enjoys working with people and can provide a welcoming, professional experience while keeping the office organized and running smoothly.

What You'll Do

Greet clients and visitors and make them feel welcome
Answer and route incoming phone calls and emails
Schedule client appointments and assist with calendars
Assist with client billing, invoicing, and accounts receivable
Provide administrative support to the Managing Partner and other team members
Prepare correspondence, client documents, engagement letters, and other materials
Scan, organize, file, and maintain client records
Assist with assembling and processing tax returns and client deliverables
Coordinate incoming and outgoing mail and deliveries
Follow up with clients for documents and other information
Maintain office supplies and help coordinate day-to-day office needs
Assist with special projects and other administrative responsibilities as needed

Detail-oriented – accuracy matters in an accounting firm
Dependable – your coworkers and clients can count on you
Proactive – you see what needs to be done and take ownership of it
Comfortable with technology – including Microsoft Word, Excel, Outlook, and the ability to learn new software
Discreet – you understand the importance of protecting confidential client information

Previous receptionist, administrative, billing, bookkeeping, banking, or customer-service experience would be helpful, but accounting experience is not required. We're willing to train the right person who has a strong work ethic and a desire to learn.
