Job Overview

We are seeking a dynamic and highly organized Secretary to join our team! This vital role involves providing comprehensive administrative support to ensure the smooth operation of our office. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. As a Secretary, you will handle a variety of clerical tasks, manage schedules, coordinate office activities, and deliver exceptional customer service. Your proactive approach and technical proficiency will help foster an efficient and welcoming environment for both staff and visitors.

Duties

Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate personnel with professionalism and courtesy
Maintain calendars, schedule appointments, and coordinate meetings to optimize executive and team productivity
Perform data entry and maintain accurate records using productivity software such as Microsoft Office, Google Workspace, and QuickBooks
Handle front desk responsibilities including greeting visitors, managing visitor logs, and providing excellent customer support
Organize files, documents, and correspondence through efficient filing systems and proofreading to ensure accuracy
Support office management tasks such as ordering supplies, managing inventories, and overseeing general administrative operations
Assist with bookkeeping tasks including basic bookkeeping entries and financial record keeping

Requirements

Proven clerical experience with strong office management skills in a fast-paced environment
Proficiency in computer literacy with excellent skills in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
Experience with QuickBooks or similar accounting software is highly desirable
Exceptional organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Bilingual abilities are a plus to support diverse client interactions
Strong phone etiquette with experience handling multi-line phone systems and customer service roles such as front desk or medical/dental receptionist positions
Technical proficiency in data entry, proofreading, filing systems, calendar management, and general office procedures
Personal assistant experience or medical receptionist background is advantageous for supporting executive needs or healthcare-related environments
