Overview

We are seeking a dynamic and organized Front Desk Clerk to serve as the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, detail-oriented, and possess strong communication skills to create a positive first impression for visitors and clients alike. This paid position offers an exciting opportunity to develop your office management skills while supporting daily operations in a professional environment.

Duties

Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming environment
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, including electronic documents and physical records, ensuring easy retrieval
Support office management activities including calendar management, appointment scheduling, and document proofreading
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
Provide customer support by answering inquiries, providing information about services, and resolving issues promptly
Perform clerical duties such as copying, scanning, faxing, and maintaining office supplies inventory
Ensure smooth front desk operations by coordinating with team members and managing office communication channels

Qualifications

Proven experience in office administration or clerical roles, preferably as a receptionist or front desk clerk
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
Bilingual abilities are highly desirable to assist diverse client needs effectively
Experience with multi-line phone systems and office management software such as QuickBooks is preferred
Demonstrated ability to handle confidential information discreetly and maintain accuracy in record-keeping
Prior experience in medical or dental receptionist roles is a plus but not required
Personal assistant or calendar management experience will be considered an asset
