Full Job Description

Job Overview
We are seeking a dedicated and organized Office Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires a proactive individual who is skilled in customer service and has strong computer literacy. The Office Secretary will be the first point of contact for clients and visitors, making a positive impression essential.

Responsibilities

Manage incoming calls and respond to inquiries with professionalism and courtesy.
Perform data entry tasks accurately and efficiently to maintain up-to-date records.
Provide customer support by addressing client needs and resolving issues promptly.
Proofread documents for accuracy and clarity before distribution.
Assist with scheduling appointments and managing calendars for office staff.
Maintain organized filing systems, both electronic and paper-based, for easy retrieval of information.
Support medical receptionist duties as needed, including managing patient records and appointment scheduling (if applicable).
Collaborate with team members to ensure effective communication and workflow within the office.
Answering emails throughout the day efficiently

Requirements

Proven experience in an office environment, preferably in a secretarial or administrative role.
Strong front desk experience with excellent customer service skills.
Proficient computer literacy, including knowledge of Microsoft Office Suite (Word, Excel, Outlook).
Ability to perform data entry tasks with high attention to detail
Excellent typing skills with proficiency in computerized systems for record management.
Strong proofreading abilities to ensure high-quality documentation.
Previous experience with Quick Books. Must know Quick Books

Must be highly organized and able to run an organized office.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
