Job Duties & Responsibilities:

Under the general direction of the Customer Service Representative (CSR) Supervisor, the CSR is responsible for providing a high level of professional customer support to an assigned group of accounts. The CSR serves as the primary contact for all product inquiries, order management, shipment coordination, claim resolution, and customer portal support, while building strong customer relationships that promote satisfaction, loyalty, and long-term business growth.

Core Duties include, but are not limited to:

Customer Account Management

Develop and maintain strong relationships with assigned customers, ensuring consistent communication and proactive service.
Maintain a strong understanding of each customer’s current operations while proactively identifying new business opportunities to ensure continued alignment with MHX services and facility capabilities.
Respond promptly to customer emails, phone calls, and in-person inquiries using professional business etiquette
Coordinate customer pick-ups and deliveries, communicating needs clearly to Planning and Operations teams
Schedule and lead monthly customer status meetings to ensure satisfaction, resolution and identify service improvement opportunities
Document all customer concerns and resolutions to maintain accurate service records
Accompany Sales Managers on customer visits, as needed, to strengthen relationships.

Order Processing & Inventory Accuracy

Solicit, receive, and distribute all receivers and shipment information to the Data Services Team.
Audit all Receivers and BOL’s once completed by DS for accuracy and to ensure they are entered in a timely manner.
Perform customer physical inventories with or without operations team
Review inventory data from cycle counts performed by Operations department, investigate and reconcile discrepancies found
Send monthly and on-request inventory reports; monitor responses and facilitate resolution of any issues

Logistics & Shipment Coordination

Track and monitor shipments to ensure on-time delivery.
Communicate proactively with customers regarding rail/truck status, delivery schedules, and possible delivery delays.
Collaborate with operations, planning, and plan control teams to resolve service-related challenges.

Customer Portal Training & Support

Educate customers on the information available on the customer portal - Transload Pro.
Encourage portal adoption and provide ongoing training as needed.
Troubleshoot portal issues and escalate technical problems when necessary.

Problem-Solving & Claims Management

Receive and coordinate the resolution of customer claims, complaints, and payment discrepancies.
Proactively resolve customer concerns or escalate to the CSR Supervisor when needed
Work with Finance, Credit, and Quality Control to resolve issues quickly and accurately.
Provide corrective feedback to improve processes and prevent recurring problems.

Reporting & Forecasting

Review customer inventory daily.
Provide updates on aged inventory, territory forecasts, and sales activity.
Participate in monthly forecast meetings with Sales Managers.

Collaboration & Cross-Functional Support

Maintain effective working relationships with internal departments including Operations, Planning, Plan Control, Finance, and Sales.
Share customer insights, competitive intelligence, and market changes with management.
Crossed trained with other CSR’s accounts
Assist with special projects and management requests as needed.

Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times

Required:

High school diploma or equivalent

Preferred:

Degree or certification in sales, marketing, and customer service studies 
Inventory management experience
Intermediate Microsoft Excel experience (functions include not limited to sorting, filtering, formatting, pivot tables, formulas, functions)
Data analysis experience
