Office Manager / Biller – Pediatric Therapy Clinic

The Office Manager/Biller plays a central role in creating a smooth, welcoming, and organized experience for families and therapists in our pediatric therapy clinic. This position is ideal for someone who is energetic, outgoing, detail‑driven, and excited to work in a child‑focused environment.

Position Summary:

The Office Manager/Biller supports daily clinic operations through scheduling, answering phones, billing coordination, credentialing, prior authorizations, and general administrative needs. This role ensures families feel supported, therapists stay organized, and the clinic runs efficiently.

Key Responsibilities:

Scheduling -Manage therapist schedules, coordinate appointments, handle cancellations, and maintain accurate daily flow.

Front Desk Operations - Greet families warmly, answer calls professionally, and provide clear communication and assistance.

Billing Support - Assist with insurance verification, billing documentation, and collection of required forms.

Credentialing Maintain- credentialing files, track expirations, and support onboarding of new therapists.

Prior Authorizations- Gather required documentation, submit authorizations, and track approvals.

General Office Needs- Maintain a tidy workspace, support supply management, assist leadership with administrative tasks, and ensure smooth daily operations.

Clinic Hours:

Monday–Thursday: 8:00 AM – 5:00 PM

Friday: 8:00 AM – 12:00 PM

Ideal Candidate

Outgoing, friendly, and comfortable interacting with parents and children

Strong multitasker who thrives in a fast‑paced therapy environment

Familiar with pediatric therapy settings (OT, PT, ST preferred)

Experience with EMR systems such as Ensora/Fusion

Organized, reliable, and eager to learn

Ready to start and train
