We're certified/preferred installers for CertainTeed, Duro-Last, Brava, Mule-Hide, and other leading manufacturers, delivering residential and commercial roofing solutions with a commitment to excellence, trust, and customer satisfaction.

About This Position & Why This Role Exists

The Operations Coordinator serves as the bridge between sales and production, ensuring every project is fully prepared before work begins. This role is responsible for verifying that each job has the information, documentation, materials, and communication needed to allow the production team to execute efficiently and deliver an exceptional customer experience.

As the gatekeeper between "sold" and "production-ready," the Operations Coordinator owns the project setup process and verifies that each project meets Custom Craft's standards before advancing to the next stage. No job moves forward until it is complete, accurate, and ready for a successful handoff to the Production Manager.

What You'll OwnHandoff Verification (Gatekeeper Function)

Confirm every job has a completed handoff meeting between Salesman and Production Manager before it's scheduled
Verify contracts, deposits, and material selections are fully signed and on file
Audit job files against the standard checklist - flag and resolve gaps before they become field problems, not after
Hold the line: a job with incomplete documentation does not move forward, regardless of schedule pressure

Material Coordination

Verify material lists match the signed scope and estimate before ordering
Track material orders, confirm lead times, and flag anything that could delay a start date
Coordinate with Estimators and Salesmen to resolve discrepancies between quoted and ordered materials

Project Setup & Scheduling Support

Build out the production-ready job file: notes, specs, material selections, site access details, permits where applicable
Maintain the production schedule/pipeline visibility so the Production Manager always knows what's coming and what's ready
Serve as the point of contact when sales, estimating, or production need a status check on a job's readiness

Process Ownership

Maintain and refine the handoff checklist and job-file standards as gaps are identified
Report recurring breakdown points (which step, which person, which job type) so leadership can address root causes, not just symptoms
Provide regular visibility to ownership on job-readiness status across the pipeline

What Success Looks Like

Zero jobs entering production without a completed, verified handoff
Material lists ordered match signed material selections - no mid-project surprises
Production Managers consistently report they're receiving complete, accurate job files
A clear, current record of where every sold job stands in the setup pipeline

What We're Looking For

Highly organized, detail-obsessed, comfortable saying “not yet” to a job that isn't ready
Experience in construction, roofing, or trades operations/coordination preferred, but process discipline matters more than industry background
Confident communicating with Salesmen, Estimators, and Production Managers - this role requires holding people accountable to the checklist without being the person who does the work for them
Comfortable with basic project tracking tools/software (or willing to help build the system)
Ability to spot a gap in documentation before it becomes a gap in production

Ownership / Production Manager (confirm reporting line)

Pay: $18.00 - $23.00 per hour
