Full Job Description

Full-time Position, .8-1.0 on average per week

Day Hours, Monday - Friday (No Nights, Weekends or Holidays)

SUMMARY

The Receptionist is responsible for greeting, assisting clients in a professional manner, scheduling appointments, obtaining and answering phone calls. Ensure accurate payment processing of Elevé services, products, memberships via PatientNow.

ESSENTIAL JOB FUNCTIONS

1. Promotes a professional and welcoming atmosphere that enhances the quality of service and care offered to the clients.

2. Possesses a working knowledge of all standard operating procedures, protocols and policies.

3. Ensures that all clients receive exceptional service and have a comfortable and pleasant experience.

4. Builds rapport with the clients using good verbal and non-verbal communication. Promotes return visits to the Medical Spa. Acts as a resources for patient questions.

5. Conducts the following duties in accordance with standard operating procedures:

· Confirms and schedules patient appointments and packages along with guidance as to expectations

· Completes check in/check out all patients

· Coordinates and ensures attaining patient contact information and medical history review via Patient Now App or doing so directly prior to services

· Coordinates patient set-up and access to relevant reward apps prior to services

· Answer phone calls and responds to inquiries

· Performs all cashiering processes via Patient Now

· Performs all opening/closing procedures according to the assigned checklist

6. Gains/maintains a thorough knowledge of all products used to perform the services offered at the Medical Practice.

7. Learns and uses all sales scripts and presentations.

8. Builds client partnerships by appropriately matching patient needs to the various services and products offered and clearly educating the client on how they will receive the most benefit.

9. Learns all current promotions and offer them to new and existing clients to stimulate sales during the promotional period.

10. Capture all leads: walk-ins and call-in and appropriately coordinate follow-up amongst the team. Utilizes confirmation calls as up-sell and cross-sell opportunities.

11. Performs inventory responsibilities as requested.

12. Cross-support, as needed, the rooming of Aesthetician patients .

13. Attends all training programs.

14. Perform other projects/tasks as requested.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

· High school diploma or equivalent is required. Completion of post high school courses is preferred.

· Previous reception and sales or customer service experience is required.

· Previous work experience in a Med Spa or health care setting is beneficial.

· Previous experience with EPIC or Patient Now software platforms is a plus.

KNOWLEDGE, SKILLS & ABILITIES – COMPETENCIES

· Possesses strong customer service and communication skills

· Possesses an understanding of HIPAA and privacy laws

· Demonstrates applicable knowledge of MicroSoft Office products

· Models a professional disposition and communication style

· Demonstrates sales aptitude and competencies towards building relationships and identifying service/sales opportunities

· Possesses a willingness to learn about Elevé’ services and products

· Ability to learn software platforms Patient Now and EPIC

· Works collaboratively with Eleve’ team members

· Demonstrates the ability to work in a fast-paced environment

· Commits to excel in a full-service day Medical Spa

· Adherence to strict confidentiality standards and compliance as to scope of role, record keeping, PHI and HIPPA.

· Specific safety certification/recertification may be required per the organization.

PHYSICAL/MENTAL DEMANDS and WORK ENVIRONMENT

The nature of the job requires sitting for extended periods of time. While performing the essential functions of the job one may occasionally bend/stoop, squat, push/pull. Some lifting/carrying up to10 lbs. is required. The use of hands for repetitive simple grasping is required. While performing the job, one will encounter continuous close paperwork, use of computer monitor, and frequent need for color vision, visual monotony. Must utilize hearing for occasional conversations, telephone use, background noise. The job requires occasional independent decision-making.
