Job Description

Position: Administrative Assistant

Classification: Non-Exempt / Hourly

Educational Requirements:

Associates,Bachelor of Arts or Science Degree preferred. Proficiency in computer skills required, including: Microsoft Word, Excel, Power Point, Outlook, Zoom and Internet.

Primary Responsibilities:

The Administrative Assistant to the Parish serves as the first point of contact for Parishioners, visitors, and guests, performing administrative duties, resolving problems, and assisting with Parish operations.
Basic office needs on behalf of the Rector and Parish such as phone calls, documenting, scheduling, and troubleshooting issues.
Compiling the weekly Church Bulletin and Newsletter electronically and printed.
Compiling and scheduling weekly emails and eNews reminders.
Maintaining the Church website.
Maintaining the scheduling of zoom meetings and assisting with other digital platforms.
Assisting with planning and maintaining the Rector’s schedule.
Maintaining the Church Database.
Maintaining the volunteer management system.
Handling of special mailings that may include content preparation, printing, addressing, labeling, and mailing.
Providing general office assistance including ordering supplies and the maintenance of equipment.
Managing telephone and email requests in a timely and organized manner to ensure effective communication.
Interacting with Parishioners that require assistance.
Performing other duties as may be necessary in the best interest of the church.

Knowledge, Skills & Abilities:

Ability to multitask.
Able to organize and prioritize time with minimal direct supervision.
Excellent communication skills, both oral & written required.
Highly motivated, self-driven and can function as a part of a team.
A positive attitude, creative mind and passion for a job well done are essential for success in this position.
A valid driver’s license is required.

Working Conditions:

This position is predominantly subject to inside environmental conditions, although outdoor activities may occur from time to time.
May be required to lift up to 30 pounds.
Climb ladder (to turn the camera on and off).
May be subject to extended periods of sitting, typing and/or computer usage.
The administrative assistant works 28 hours weekly, i.e. 7 hours each day, Monday-Thursday.
Hourly staff receive the following paid holidays at the rate of five hours per day: Martin Luther King Day, Easter Monday, Memorial Day, July 4th, Labor Day, Thanksgiving Day, and December 24th through January 2nd.
