Full Job Description

Office Manager / Bookkeeper – Automotive

Location: Lafayette, Louisiana
Position: Full-Time
Industry: Automotive Sales & Leasing

We are seeking an experienced, organized, and dependable Office Manager / Bookkeeper to oversee the day-to-day administrative and accounting functions of a growing automotive sales and leasing operation.

The ideal candidate will have strong Accounts Receivable (AR), bookkeeping, and QuickBooks experience. Previous experience with automobile titles, dealership paperwork, or vehicle registration is a strong plus.

Key Responsibilities

Manage Accounts Receivable (AR), including invoicing, posting payments, aging reports, collections, and account reconciliation
Perform daily and monthly bookkeeping duties
Maintain accurate records in QuickBooks
Process Accounts Payable (AP) and vendor invoices
Perform bank and credit card reconciliations
Assist with journal entries and general ledger reconciliation
Prepare reports for management and outside accountants
Maintain customer, vendor, vehicle, and financial records
Manage general office operations and administrative functions
Assist with vehicle purchase and sales documentation
Coordinate paperwork with dealerships, lenders, customers, and vendors
Assist with automobile titles, registrations, lien documentation, and title tracking
Maintain organized records for vehicle inventory and transactions
Help ensure paperwork and accounting records are accurate and completed on time

Qualifications

Previous Accounts Receivable and bookkeeping experience required
Strong working knowledge of QuickBooks
Experience with Microsoft Excel and general office software
Strong organizational skills and attention to detail
Ability to manage multiple companies, accounts, and transactions
Professional communication skills
Ability to work independently and prioritize responsibilities
Automotive dealership, vehicle leasing, or fleet experience preferred
Automobile Title Clerk experience is a major plus

Ideal Candidate

We are looking for someone who is detail-oriented, accountable, organized, and comfortable taking ownership of the office and accounting functions. This position is well suited for someone with bookkeeping experience who enjoys working in a fast-paced automotive business and can keep financial records, vehicle paperwork, and office operations organized.
