About Housing Kent

Housing Kent is a collective impact organization whose mission is to increase access to affordable housing and decrease homelessness, with an intentional focus on eliminating racial disparities in Kent County. Through shared measurement, high-leverage activities, and a focus on diversity, equity, and inclusion, Housing Kent is poised to grow cross-sector collaboration to ensure that all people in Kent County have high-quality, affordable housing.

About the Role

The Administrative Coordinator is a key member of the Housing Kent team, providing high-level administrative, operational, and project coordination support that keeps the organization running efficiently. Reporting to the Director of Operations, this position supports day-to-day office operations, executive scheduling, project management, grant administration, and partner engagement.

This role is ideal for someone who thrives in a collaborative, fast-paced environment, is adaptable, relationship-centered, proactive, and organized. The Administrative Coordinator is often the first point of contact for partners and stakeholders and plays an important role in advancing Housing Kent's mission through exceptional organization, communication, and customer service.

Essential Duties + Responsibilities

Assistant to the Director of Operations
Executive and Leadership Support
Project Coordination
Office Management

Executive and Leadership Support

Coordinate executive calendars and priorities.
Prepare agendas, briefing materials, presentations, and meeting summaries.
Track organizational priorities and follow through on action items.
Coordinate project meetings, including scheduling and logistics.
Maintain confidential records and correspondence.
Serve as a liaison with community partners.
Build trusted working relationships while adapting communication style to effectively support multiple leaders, partners, and stakeholders.

Financial and Administrative Coordination

Assist Director of Operations with Accounts payable and receivable.
Maintain vendor files.
Track organizational subscriptions.
Assist with payroll documentation.

Office Operations

Ability to leverage emerging technologies and AI-powered productivity tools responsibly to improve organizational efficiency.
Provide office management related to supplies, record-keeping (electronic and physical), and maintaining an organized office space.

Project Coordination

Assist the team with project support, stakeholder meetings, and event planning.
Maintain project timelines.
Track deliverables.
Coordinate internal and external meetings.
Maintain shared project documentation.
Follow up with partners regarding deadlines.

Qualifications

The ideal individual has a demonstrated commitment to advancing equity, fostering inclusive partnerships, and supporting Housing Kent's mission to eliminate racial disparities in the housing system. The ideal candidate will have the following:

Minimum 3–5 years providing administrative, executive, or operations support in a nonprofit, government, or professional environment
Ability to translate high-level meeting conversations into succinct and clear meeting minutes
Professional demeanor with the ability to communicate effectively with all levels of an organization
Ability to work independently with minimal supervision
Excellent interpersonal, written, and oral communication skills
Demonstrate strong technical skills with the ability to learn, implement, and train staff on new software
Ability to work effectively with people from diverse cultural, social, and ethnic backgrounds and the ability to develop and build strong relationships
Demonstrate excellent project management skills, from concept to completion
Impeccable attention to detail and keen proofreading ability
Foresight to anticipate and solve problems without escalation
Strong customer service orientation
Bachelor’s degree or equivalent experience preferred
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, and OneDrive)
Demonstrate responsible use of AI technology
Familiarity with CRM and project management software (MailChimp, Asana, etc.)

Working Conditions

This position operates within a typical office environment. This can include frequent work in a stressful environment. Frequent telephone and computer use. Use of manual dexterity required for writing and computer use. Adequate hearing to engage in prolonged conversations in person and on the phone. Able to sit for extended periods of time. Able to lift up to 25 pounds. Independently mobile with the possibility of climbing stairs. May be required to stand for long periods of time. Some travel, both by car and by air, may be required. Ability to work occasional evenings, weekends, and early mornings. Specific vision abilities required by the job include close vision, distance vision, and ability to adjust focus.
