Full Job Description

Job Summary
We are seeking a proactive and organized TEMPORARY Office Assistant to join our dynamic team. This energetic role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and possesses excellent communication skills. As a key support member of our office, you will help handle a variety of clerical and administrative duties to ensure smooth daily operations.

****This position is temporary and will begin mid July and last for approximately 8 weeks.

Responsibilities

Administrative & Office Operations

Manage daily office operations and workflow
Answer and route phone calls, emails, and customer inquiries
Maintain organized digital and paper filing systems
Schedule meetings and coordinate office calendars

Customer Service & Communication

Serve as the primary point of contact for customers
Schedule estimate meetings with customer and estimator
Make follow up calls on pending estimates
Handle customer questions, complaints, and service requests professionally
Prepare and send customer correspondence (emails, letters, notices)
Maintain accurate customer records in a CRM software

Scheduling & Job Coordination

Add jobs to a schedule
Communicate schedule changes due to weather or job delays
Track purchase orders and job related expenses
Coordinate and verify utility locates prior to the start of each project
Track completed jobs and ensure paperwork is returned

Seasonal & Weather-Related Duties

Communicate weather delays or emergency services to customers
Assist with seasonal startup and shutdown operations

General Support

Provide administrative support to ownership and management
Manage marketing mailers, email communications, and social media

Pay: $18.00 - $20.00 per hour

Work Location: In person
