Position Overview

Part-Time | In-Person | Canton, OH

Pay: $20–$22/hour + performance bonuses

Hours: ~20 hours/week | Growth path to full-time

The Client Success Coordinator is one of the most important roles at Vitality Physical Therapy. This person is the first voice a potential or current patient hears — and the experience they create determines whether someone chooses us and gains access to the care that changes their life. This role blends front desk excellence, client relationship management, and administrative precision into one high-impact position.

Vitality Physical Therapy is a fast-growing, patient-centered clinic in Canton, Ohio. We serve active adults — CrossFitters, weightlifters, runners, and gym-goers — who refuse to sit on the sidelines. Our mission is to offer exceptional, personalized physical therapy that guides each patient toward a healthy, active life. We are a team that listens, engages, and works collaboratively — and we hold ourselves to a high standard in everything we do.

What You'll Own:

Patient & Client Experience

Be the first point of contact for all incoming calls, texts, and inquiries — target 95% answer rate
Greet every patient by name; make them feel known, welcomed, and remembered
Confirm new evaluations via call and text 24 hours in advance
Verify intake paperwork is completed at least 24 hours before every new eval
Collect Google and Yelp reviews from patients consistently each month
Distribute Quality Assurance and First Visit surveys to each patient

Scheduling & Operations

Manage scheduling in Jane App: new evals, reschedules, and ongoing appointments
Exhaust the waitlist each week to maintain 87.5% or higher utilization rate
Ensure zero scheduling errors
Apply cancellation fees when applicable per clinic policy
Maintain zero outstanding balances at end of each month
Ensure all PT notes are completed on time

Lead Follow-Up & Call Setting (Go High Level CRM)

Manage inbound leads in Go High Level CRM
Schedule and confirm discovery calls with prospective patients
Follow up with leads to maximize show rates for discovery calls and evaluations
Cultivate at least 1 referral per month through relationship-building

Communications

Monitor and respond to all messages by end of business each day
Sort and manage clinic email inbox
Schedule first phone calls with prospective patients

KPI Tracking

Pull and log weekly KPIs from Jane App: total visits, evals scheduled, evals arrived, cancellations, no-shows
Complete monthly Admin and Front Desk scorecards

Clinic Upkeep

Maintain cleanliness of the space: treatment rooms, towels, supplies
Restock cleaning and operational supplies as needed

Social Media (Bonus Skill — Not Required)

If you have the skills: shoot, edit, and schedule content for our social channels
