Full Job Description

Barber Facial Plastic Surgery & Med Spa is looking for a friendly, organized, and dependable Front Desk Receptionist to join our growing team. As the first point of contact for our patients, you'll play a vital role in creating a warm, welcoming, and exceptional experience from the moment they call or walk through our doors.

Responsibilities

Answer incoming calls professionally and assist patients with scheduling appointments.
Verify appointment information and patient demographics.
Send new patient paperwork via email or text.
Collect required prepayments for consultations and scheduled services.
Send secure payment links through Nextech.
Ensure all patient paperwork is completed before appointments.
Upload, scan, and accurately enter patient information into the electronic medical record.
Welcome and check patients in with professionalism and enthusiasm.
Collect copays, balances, and other fees at check-in.
Coordinate patient flow to help appointments stay on schedule.
Contact patients who miss scheduled appointments.
Confirm appointments for the following business day.
Review schedules for additions and prepare documentation as needed.
Balance the daily cash drawer.
Maintain a clean, organized, and inviting reception area.
Restock brochures, business cards, office supplies, and patient forms.
Maintain the guest restroom throughout the day.
Perform daily administrative tasks, including shredding documents, preparing schedules, stocking paper supplies, and cleaning reusable patient intake materials.

Qualifications

Previous receptionist, medical office, or customer service experience preferred.
Healthcare or medical aesthetics experience is a plus.
Excellent communication and interpersonal skills.
Strong attention to detail and organizational abilities.
Ability to multitask in a fast-paced environment.
Professional appearance and positive attitude.
Comfortable learning and using electronic medical record systems (Nextech experience is a plus).
Dependable, punctual, and team-oriented.
