Primary Responsibilities:
The successful candidate will independently perform day-to-day bookkeeping responsibilities, including:
- Manage Accounts Payable and Accounts Receivable
- Process invoices and payments
- Perform bank and credit card reconciliations
- Maintain accurate financial records
- Assist with monthly bookkeeping activities
- Prepare financial documentation and reports as requested
- Maintain organized digital and paper accounting records
- Coordinate requested information with outside accounting professionals
Executive Administrative Support
Provide confidential administrative support directly to company ownership by:
- Managing calendars, appointments, and scheduling
- Preparing professional correspondence, reports, and business documents
- Drafting, proofreading, and editing letters and emails
- Organizing files and important company records
- Assisting with special projects and day-to-day administrative needs
- Maintaining confidential business and personal information with absolute discretion
Business & Real Estate Support
Assist ownership with administrative support related to business operations and commercial real estate, including:
- Organizing property files and records
- Preparing business documentation
- Coordinating correspondence
- Maintaining organized electronic and paper filing systems
QualificationsRequired
We are seeking an experienced bookkeeping professional who has successfully performed responsibilities such as:
- Accounts Payable
- Accounts Receivable
- Bank Reconciliations
- General Bookkeeping
- Financial record maintenance
In addition, candidates should possess:
- Strong Microsoft Excel and Microsoft Word skills
- Experience using QuickBooks or similar accounting software
- Excellent written and verbal communication skills
- Exceptional grammar, proofreading, and organizational abilities
- Strong attention to detail
- Ability to prioritize multiple responsibilities
- Professional appearance and demeanor
- High level of integrity and dependability
Preferred
- Previous experience supporting executives or business owners
- Real estate administrative experience
- Experience working in a small business environment where responsibilities vary throughout the day
