Reports to: Director of Accounts
Hours: Monday through Friday, 8:00 AM to 4:30 PM
Compensation: $55,000- $65,000
Work setting: In office

With over 40 years of experience and 90+ professionals across strategy, design, production, and technology, we combine deep industry knowledge with modern tools to help businesses grow. We produce and deliver more than 100 million pieces annually from our in-house facility, transforming the direct mail space through innovation, service, and our proprietary software platforms.
Role Summary
The Campaign Coordinator is an entry-level marketing role and the ideal starting point for someone who wants to build a career in direct marketing strategy and client-facing advisement. This person serves as the primary point of contact for Starter and Pro members navigating the self-serve experience, owning the onboarding, training, consultation, and service request journey from intake through completion. Responsibilities include conducting discovery conversations, developing direct mail recommendations, and coordinating campaign fulfillment across internal teams.

Duties:
Client Onboarding and Training
- Conduct onboarding sessions for Starter and Pro members joining the platform
- Deliver platform training and educational consultations that build client confidence and self-sufficiency
- Help clients understand platform functionality, workflows, and best practices
- Identify gaps in client knowledge and address them proactively during onboarding interactions
Campaign Consultation and Direct Mail Guidance
- Conduct campaign strategy consultations when requested by clients
- Complete The Mailworks Direct Mail Academy as part of onboarding and apply its principles when advising clients
- Lead discovery conversations to understand business objectives, target audiences, and marketing goals
- Develop direct mail recommendations covering audience selection, timing, format, and campaign structure
- Provide design direction to clients seeking creative assistance or submitting custom design requests, gathering the brief and translating it clearly for the Creative team
- Present recommendations and next steps clearly and professionally, helping clients understand the path forward and access the resources needed for execution
Campaign Support and Service Request Management
- Manage incoming client requests across chat, tickets, email, and scheduled consultations
- Meet established response-time and resolution-time expectations across all support channels
- Prioritize incoming requests appropriately to ensure timely client support
- Facilitate requests for custom design services, design templating, campaign strategy consultations, and platform assistance
- Submit completed Creative Briefs to initiate design requests from in-house designers, ensuring all project details, client direction, and deliverable expectations are documented accurately before work begins
- Ensure all requests are documented accurately, assigned appropriately, and completed within established service-level expectations
- Track request status and communicate progress to clients throughout the fulfillment process
Shared-Service Client Support
- Participate in round-robin assignment of onboarding sessions, consultations, and support requests
- Deliver consistent, high-quality service regardless of prior client interactions or relationship history
- Maintain detailed documentation to ensure continuity across the support team
- Support a broad portfolio of self-service clients without maintaining assigned accounts
Internal Coordination
- Coordinate with Creative, Data, Production, and Client Services teams to fulfill client requests
- Provide clear design direction when submitting creative requests on behalf of clients, ensuring the Creative team has the context needed to execute accurately
- Ensure deliverables align with client expectations and company standards before delivery
- Communicate clearly across internal teams to keep requests moving efficiently and on schedule
- Leverage AI tools to support client communication, campaign recommendations, content development, and day-to-day efficiency
- Identify recurring client questions and contribute to training materials, help documentation, and process improvements that strengthen the self-service experience
Required Skills and Abilities
- Strong written and verbal communication skills, able to communicate professionally across chat, email, phone, and video
- Excellent organizational skills and attention to detail, with the ability to manage multiple requests, tasks, and deadlines simultaneously
- Solutions-oriented mindset with strong problem-solving skills and reliable follow-through
- Comfortable learning and using technology, software platforms, and new systems quickly
- Ability to gather information, ask thoughtful questions, and understand client objectives before proposing solutions
- Confidence presenting recommendations, explaining processes, and guiding clients to next steps
- Collaborative working style with the ability to coordinate across multiple internal teams and stakeholders
- Genuine desire to build expertise in direct mail marketing, campaign strategy, and creative best practices; this role is designed to develop a direct mail expert, and the right candidate is invested in that growth
- Comfort giving design direction and providing creative guidance to clients and internal teams
- Willingness to leverage AI tools to improve efficiency, support client recommendations, and enhance day-to-day work
- Ability to listen to business challenges and translate them into actionable direct mail solutions

Preferred Experience
- Experience in customer service, customer success, account coordination, marketing, communications, hospitality, retail leadership, or other client-facing roles
- Experience leading meetings, training sessions, presentations, or client consultations
- Familiarity with CRM, help desk, ticketing, or project management software
- Exposure to marketing, advertising, sales, or business communications
- Experience working in a fast-paced environment where priorities shift frequently
Physical Requirements
- Ability to remain stationary for extended periods while working at a computer
- Occasional movement within the office to collaborate with team members or access equipment
Success Indicators
- Onboarding sessions are completed successfully and drive platform adoption among Starter and Pro members
- Campaign consultations reflect the principles of the Direct Mail Academy; clients receive direct mail recommendations grounded in strategy and aligned with their business goals
- Creative Briefs are submitted accurately and completely, providing the Creative team with the context and direction needed to execute client requests without revisions or delays
- Support requests receive timely responses and are completed within established service-level expectations
- Clients report positive experiences with training, consultations, and support interactions
- Design, templating, and campaign requests move efficiently through internal workflows without delays or errors
- Documentation enables seamless support continuity regardless of which Campaign Coordinator assists the client
- Growing expertise in direct mail strategy and platform functionality is demonstrated over time
